Full transcript
- 0:00This recording is to support you in our
- 0:03new website site and the location where
- 0:06all of our information for our
- 0:07vendorization
- 0:09is held. So, I'm going to go through our
- 0:11website, show you where to find
- 0:12documentation so that you are prepared
- 0:15and you can locate the information
- 0:16needed when submitting your application
- 0:19through the provider directory.
- 0:21So, as you'll see here, we're on our
- 0:23homepage here at Alta California
- 0:25Regional Center. So, the easiest way to
- 0:27find our become a service provider page
- 0:30is to hit the menu button here.
- 0:35Down go down to on service providers
- 0:37become a service provider.
- 0:41So, on this page there's going to be a
- 0:43lot of information. The first part is
- 0:45just really outlining the service
- 0:48provider directory and the requirement
- 0:50to come into compliance with that
- 0:52starting we started January 1st, but the
- 0:55requirement from the department was
- 0:56March 1st. So, you'll find a lot of
- 0:58information about what is vendorization,
- 1:01they give you a definition there.
- 1:04Application information how to prepare
- 1:07and who can apply and cannot apply. This
- 1:09is information that the department
- 1:11wanted us to put on there. So,
- 1:13additionally who can use vendor
- 1:15providers and then we have our timeline
- 1:17here of what the vendorization process
- 1:19looks like and the steps for that.
- 1:23If you scroll down a little bit more,
- 1:26our regional center is working on
- 1:28developing the section here to talk
- 1:29about what services are needed and what
- 1:31catchment area. So, we're still working
- 1:32on developing that, but when we have
- 1:34that information that will be built in
- 1:35this section.
- 1:37And then again, do you need help? So,
- 1:39this is contact information that the
- 1:41department
- 1:43has provided. There's the department how
- 1:45to become a vendor web page it gives you
- 1:47information and there's also our
- 1:50vendorization Alta Regional
- 1:52contact email that you can reach out to
- 1:54for questions. But, But you go to this
- 1:55one they'll provide you with um some
- 1:57Q&As, some videos, some how-tos, and
- 2:00also Q&A.
- 2:02Um
- 2:04I believe it's a manual, and then also
- 2:06the link for that. Excuse me.
- 2:09Down here, we'll talk about you can
- 2:10click on this one. It's going to really
- 2:11tell you the expectation that you um as
- 2:15you go through the process and each
- 2:16phase. So, we have our requirements
- 2:18phase, our submission phase, and our
- 2:19decision phase. Um and this is really
- 2:22going to break down what the expectation
- 2:24is for you at from the regional center,
- 2:26and then also from us to you, making
- 2:29sure that you are monitoring your
- 2:30portal, you are responding to emails, to
- 2:32the comments, and all of that to make
- 2:34sure the um process is successful.
- 2:39Down here just talks about the
- 2:40importance of submitting complete and
- 2:41accurate information. There's some
- 2:43details there. We are on a very um
- 2:46shortened timeline, so we want to make
- 2:48sure that everything is uh accurate and
- 2:51up-to-date, and all documentation is
- 2:52needed. So, that's kind of where we go
- 2:54down to This is going to be really your
- 2:56key support in um determining what
- 3:00service type, what is requested, what is
- 3:02required, um and also some templates
- 3:04that are needed. So, the service code
- 3:06breakdown, we're going to select that
- 3:08option.
- 3:09And I'm going to open up that
- 3:12Excel.
- 3:14So, right here you will see every
- 3:17service code that is identified. Um
- 3:19you'll also see the service code here,
- 3:22the name of that service, the
- 3:24description per title set or excuse me,
- 3:26per DDS title 17 regulations. Every
- 3:29service requires an uh submission has a
- 3:32submission checklist, and we'll go over
- 3:34that. Um and almost all services have a
- 3:37program design template per title 17
- 3:39regulations, um based on what is needed
- 3:41for that service.
- 3:43Um and then in this column as well,
- 3:44you'll have all of our trainings. So, I
- 3:47will use an example. So, you'll see down
- 3:50here, we'll just keep going. Every
- 3:51service code has the same thing. If it's
- 3:53grayed out like this, that means that
- 3:55the department has identified that that
- 3:56service is no longer being utilized. An
- 3:58055 is an example.
- 4:00Um, but for review sake, I wanted to go
- 4:03down to, pardon my scroll, I wanted to
- 4:05go down to ILS cuz it's a perfect
- 4:07example.
- 4:08So, here, um, the department has given
- 4:10the description.
- 4:11We have outlined the Title 17
- 4:14qualifications for that. That's really
- 4:15to support you to make sure before you
- 4:17go through all of the steps that you can
- 4:19ensure that you do qualify based on that
- 4:21requirement. Um, the next thing you will
- 4:23want to do is look and determine what
- 4:25submission checklist you will need to
- 4:27use. This helps you and this guides you.
- 4:30Every document that's on this checklist
- 4:32needs to be submitted pro- uh when you
- 4:34submit your application or we will need
- 4:36to close that request and have you, um,
- 4:38re-gather anything that's missing.
- 4:41So, in here, well, we've identified that
- 4:43this adult service is the checklist we
- 4:44need. So, if you click on this,
- 4:47it's going to take you to the checklist
- 4:49page.
- 4:50So, now you will see
- 4:52all the checklist here and every
- 4:54checklist has these two identifying, uh,
- 4:56documents. So, the conflict of interest
- 4:59and the DS-1891.
- 5:01These need to be filled out, um, and
- 5:03you'll notice they're noted on all of
- 5:05these, but we put them here for your
- 5:06reference. Um, just a side note, if you
- 5:09have a corporation, every board member
- 5:12will need to complete one both of these.
- 5:14We'll need to have them at listed on the
- 5:16DS-1891 and they will have to complete a
- 5:19conflict of interest. It's It's laid out
- 5:21based on organizational type. So, um,
- 5:24partnerships, sole proprietors, whoever
- 5:27is identified needs to be on the DS-1891
- 5:30and also have a conflict of interest.
- 5:32But for the review that we were talking
- 5:34about here, which we've identified that
- 5:36we need the adult services checklist,
- 5:38I'm going to since I clicked there,
- 5:40you'll see right here, I'm going to
- 5:41select the adult services checklist.
- 5:44So, this says, "Please be sure to gather
- 5:45all documentation prior to submitting
- 5:47your letter of interest to the provider
- 5:48directory." And this outlines the seven
- 5:52items that are needed when you submit.
- 5:55So, we have our current applicant
- 5:57resume, any current resume for partners,
- 5:59board members, organizational chart, a
- 6:02program design that's approved, and I'll
- 6:03show you where to find that for this
- 6:05service, um organization type, a
- 6:07conflict of interest, and DSAT 91 based
- 6:10on that organizational type that I
- 6:11showed you. So, once those are all done,
- 6:13this is this does not need to be
- 6:15submitted with it. This is just for your
- 6:16reference to make sure that all of these
- 6:17things are completed.
- 6:21I go back to the checklist, and you'll
- 6:23see that's where I was.
- 6:24I have a program design. So, every
- 6:26service is required to have their first
- 6:28draft of their program design submitted
- 6:29upon um completion of the application.
- 6:32So, this column right here, this pro PD
- 6:34program design template is where you're
- 6:36going to find all the templates. So,
- 6:38based on this, we know that we are
- 6:39looking for the independent living
- 6:41service template, so I'm going to select
- 6:43this
- 6:44column.
- 6:46And it's going to take us to every
- 6:49program design template that we have.
- 6:51So, based on the breakdown, I know that
- 6:53I need to look for the independent uh
- 6:55living skills program design.
- 6:58So, I'm going to select that, and you
- 7:00will see right here um the cover page
- 7:02that lays out all of the requirements,
- 7:04the page max, and we give a very
- 7:06detailed, very thorough uh template for
- 7:09you to follow so that you can um
- 7:12complete all that's required. So, that's
- 7:14how you will find the program design for
- 7:16every service code.
- 7:19Again,
- 7:20um
- 7:20we'll go over to the required trainings.
- 7:23If you notice in the checklist, um
- 7:28we do not require the trainings right
- 7:29off the bat, but we do a we do provide
- 7:31it for you so you know that you can work
- 7:33on it your own time. You can submit them
- 7:35all of them with the application with
- 7:37all of these documents, but it is not
- 7:39required.
- 7:41But you will go over to this column,
- 7:43which is training, and it's going to
- 7:44identify all the trainings that are
- 7:46required for you for that service code.
- 7:49So, if I click these,
- 7:51it's going to take us to our vendor
- 7:52learning management, our LMS training
- 7:54hyperlinks. So, here you'll find the how
- 7:56to register for our LMS, and also how to
- 8:00download the certificates. Every
- 8:01training has a certificate that you will
- 8:03download, and you will upload into the
- 8:04provider directory. So, based on this
- 8:06service, I know I have to do vendor
- 8:08orientation day one, accounting
- 8:10orientation, SAR, and mandated
- 8:12reporting.
- 8:14So, you will click on these, and that
- 8:16will take you directly to that. First,
- 8:18you will have to register. After that,
- 8:20everything's tied to your email, and you
- 8:22can download certifications to upload as
- 8:24you go through.
- 8:27Um so, I encourage you all to before
- 8:30submitting, please make sure you go
- 8:32through this, identify the type of
- 8:34service you want, identify what is
- 8:35needed, the template, and the training.
- 8:39Um
- 8:40so that your application can be moved
- 8:42through um quickly. Um we are only given
- 8:4515 calendar days to review, and that is
- 8:47why all this documentation has to be
- 8:50submitted with the application. Um I
- 8:53hope this was helpful. I can go back to
- 8:57our
- 8:59web page here.
- 9:01Once again, menu,
- 9:04become a service provider,
- 9:07and this is all the information that I
- 9:09went over
- 9:11uh briefly.
- 9:13Scroll down, you'll see the service code
- 9:15breakdown.
- 9:16Again, underneath the service code
- 9:18breakdown, we do have all the checklists
- 9:20here and those two documents, so you can
- 9:21reference those as well if you don't if
- 9:23clicking in the um in the uh Excel sheet
- 9:27is is not working, it should be. Um but
- 9:29there it is right there. Also, all of
- 9:31our LMS links, and then our service
- 9:34provider resources, that is where all of
- 9:36the program designs are. So, as always,
- 9:39if you have any questions, please reach
- 9:40out to [email protected].
- 9:44And again, my name is Michelle Duchene.
- 9:45Thank you.
