Using Medicare Assets — Transcript

- 0:00In this video, we will be covering the
- 0:02Medicare specific assets that are
- 0:04included in the Medicare branding
- 0:06bundle. Due to the regulatory and unique
- 0:09nature of Medicare as a product,
- 0:11additional assets are included beyond
- 0:14the standard branding bundle assets.
- 0:16They can be found inside of the
- 0:18automations
- 0:20under Medicare assets 2.1 Medicare
- 0:24enrollment periods and scope of
- 0:26appointment.
- 0:28Clicking on this folder will show you
- 0:30some of the additional content that's
- 0:31included, including AE, OEP, and T65
- 0:37campaigns.
- 0:39Also, scope of appointment requests and
- 0:41notifications are included.
- 0:45Each of these three campaigns, AE, OEP,
- 0:49and T65,
- 0:51are able to be sent to contacts at the
- 0:54right point, enabling you to push them
- 0:56and nurture them into a calendar
- 0:58appointment.
- 1:00Understanding how to trigger these
- 1:02campaigns will be an important part of
- 1:04how to use them. But first, let's review
- 1:07the messages themselves.
- 1:10Clicking on the automation, we can see
- 1:12that each of these automations is
- 1:15triggered by a tag that corresponds to
- 1:18the name of the campaign.
- 1:22Notice that the tag added 2.1 red
- 1:25Medicare AE will trigger the AE
- 1:28campaign.
- 1:30In some cases, you may find drafted or
- 1:33published workflows by default. So,
- 1:35ensure that once you've reviewed, you
- 1:38publish
- 1:39the automations that you wish to
- 1:41utilize.
- 1:46Once the tag is added, the contact will
- 1:49come in and wait till a specific date.
- 1:52In the A campaign, wait until August
- 1:5525th is the first step.
- 1:58Please note that this date specific
- 2:00action is set for 2025.
- 2:03If you're using in future years the same
- 2:05campaign, ensure that you adjust the
- 2:08year to correspond to the current year.
- 2:12If that date has already passed, the
- 2:14contact will skip that email and move to
- 2:16the next step.
- 2:21Each of these emails in the AE and OEP
- 2:24sequence give a heads up or notification
- 2:27to these contacts, letting them know
- 2:29that enrollment periods are just around
- 2:32the corner. These will warm up contacts
- 2:35so that they know when enrollment period
- 2:37is open, you are the agent that they're
- 2:39going to come to.
- 2:44Additional heads up emails are sent. And
- 2:46then finally, once enrollment is open,
- 2:50emails with calendar links will be sent
- 2:52out. Review and modify the weight steps
- 2:55as desired.
- 3:15Notice the first email, email 5 in this
- 3:18version of the AE automation has grab
- 3:21your appointment as a button.
- 3:24Ensure that you have the right calendar
- 3:26links and have done the customizing in
- 3:29the calendar settings to ensure that
- 3:31these links will function correctly.
- 3:35Make sure that any changes to the
- 3:37content or the spacing is saved
- 3:40in the automation.
- 3:48OEP has a similar structure using an OEP
- 3:51tag and then waiting until December
- 3:5315th,
- 3:54then January 2nd, then January 16th, and
- 3:58so on for future emails.
- 4:01See, in this example, 2026 is set as
- 4:03this selected date. And in the future,
- 4:06if you're continuing to use the same
- 4:08campaigns, make sure that you adjust the
- 4:10selected date for the right year.
- 4:14Save any action changes,
- 4:17publish, and hit save.
- 4:25Jumping ahead to the T65 campaign,
- 4:28you'll notice that there are multiple
- 4:30triggers in this example. In most cases,
- 4:34these are either by adding a tag or by
- 4:37adjusting a disposition.
- 4:40The tag T65 Medicare campaign will add
- 4:44contacts to the Medicare campaign.
- 4:48Notice a couple if else branches where
- 4:51we check the date of birth. If the date
- 4:54of birth is empty and we do not have
- 4:56that record, we'll simply add them to a
- 4:59Medicare campaign. If you are bulk
- 5:01adding a large list, we recommend
- 5:04deleting this branch or deleting this
- 5:06action to ensure that you do not send a
- 5:09T65 campaign to the wrong audience when
- 5:13their date of birth is empty. However,
- 5:16if you are adding a contact with a date
- 5:17of birth field filled in, that contact
- 5:20will continue to filter around and
- 5:23around until they are 64 and a half. If
- 5:27they are over 65, we're ending the
- 5:30workflow for them. But once they reach
- 5:32the date criteria between 64 12 and 65
- 5:37years, we're going to send them a
- 5:39specific campaign letting them know that
- 5:41as they approach 65,
- 5:44Medicare information will be available
- 5:46and your calendar link is included.
- 5:52Review the language and edit the
- 5:54messaging as necessary.
- 5:57You can also redo and review additional
- 6:00notes inside of the workflow stickies.
- 6:06Scope of appointment is captured in two
- 6:09methods with agent CRM. The scope of
- 6:12appointment can be sent by clicking a
- 6:14button or captured through the agent CRM
- 6:17calendar.
- 6:20Notice the scope of appointment request
- 6:22automation is triggered by clicking a
- 6:25check box. We'll review that in a
- 6:27moment.
- 6:29Once the checkbox is clicked, an email
- 6:31will be sent
- 6:33requesting a scope of appointment to be
- 6:36filled in.
- 6:39Additional setup is required and we'll
- 6:41cover that as well.
- 6:51Once the scope of appointment has been
- 6:52filled in, an internal notification will
- 6:55be sent to you to let you know that
- 6:57you've received that new scope of
- 6:59appointment form. These function based
- 7:02on using the agent CRM native form.
- 7:05Let's go there together.
- 7:08On the left hand side under sites
- 7:12form builder
- 7:15look for the scope of appointment
- 7:18calendar form.
- 7:22Click preview to open up the form.
- 7:27This is the look
- 7:30and content of the scope of appointment
- 7:31included by default with the agent CRM
- 7:34Medicare branding bundle. Notice the
- 7:37ability for a beneficiary, authorized
- 7:39representative, or agent to book on
- 7:42behalf of the contact.
- 7:45If you are booking for the contact over
- 7:47a phone, ensure that your first name is
- 7:49the name of the client.
- 7:53Once you fill in that information, the
- 7:55scope of appointment will appear.
- 7:58The language can be chosen and if you
- 8:00choose beneficiary or authorized
- 8:03representative, a signature option will
- 8:05appear.
- 8:08By default, this form is included in the
- 8:10agency calendar. However, if you wish to
- 8:13click to send, please go to copy that
- 8:17link.
- 8:21Go to a count customizer
- 8:24calendars.
- 8:27on the final step and select Medicare.
- 8:31Notice a place for the scope of
- 8:32appointment form link to appear.
- 8:36Paste that link and hit submit. This
- 8:39will ensure that as we click to send
- 8:41that email will direct to the right
- 8:43place.
- 8:50Let's review how to manually send
- 8:54in a contact profile.
- 8:58Under Medicare scope of appointment,
- 9:02notice the field scope of appointment,
- 9:04click to send scope of appointment
- 9:06request.
- 9:09Clicking this box will automatically
- 9:11send the scope of appointment and
- 9:14shortly reset this checkbox so you can
- 9:16send again anytime you wish.
- 9:22Additionally, under settings,
- 9:25calendars,
- 9:29speak with your Medicare agent, the
- 9:32scope of appointment form is already
- 9:33built into the calendar.
- 9:37Let's look at that calendar together.
- 9:46Notice that when a client or contact
- 9:49looks to book an appointment, we're
- 9:51capturing a scope of appointment. This
- 9:54ensures that every booked appointment
- 9:56always has a scope of appointment on
- 9:58file. They cannot book an appointment by
- 10:00default without filling in a scope of
- 10:03appointment.
- 10:04If you wish to make further changes by
- 10:06removing this form or requirements,
- 10:09ensure that you're using the click to
- 10:10send feature to capture the scope of
- 10:12appointment and remain compliant.
- 10:16One more compliance feature included in
- 10:18the calendar is that your availability
- 10:20by default is set to a minimum
- 10:22scheduling notice of 48 hours. This
- 10:26means that a contact cannot book within
- 10:2948 hours, ensuring automatic compliance.
- 10:37Reach out to our support team if you

- 10:46As one last example here, we'll share
- 10:48the tag AE campaign. Notice simply by
- 10:52typing in AE
- 10:55that the tag will appear and you can
- 10:56instantly trigger that campaign that we
- 10:58showed earlier.
- 11:01T65 and other tags can be added to
- 11:04instantly trigger to individual
- 11:06contacts. If you wish to send to larger
