Tracking Policy Sales — Transcript

- 0:00In this video, we'll be covering how to
- 0:02mark and track sales made for
- 0:05policybased leads.
- 0:07We'll be covering the 4.0 green assets
- 0:10as well as some additional setup that's
- 0:12required to streamline the tracking and
- 0:15submission of important sale
- 0:18information.
- 0:20To begin,
- 0:22go to the sites tab.
- 0:26Click forms
- 0:28builder
- 0:30and look for policy update form.
- 0:35Depending on your branding bundle, your
- 0:37product name should appear before the
- 0:40title IL policy update form,
- 0:45annuity policy form, or more. If you do
- 0:47not see this, please reach out to our
- 0:49support team to request an update to
- 0:52your assets.
- 0:54Once you find the form, click preview
- 0:58and copy the form link from your web
- 1:01browser.
- 1:03Notice all the essential carrier
- 1:06information and policy fields related to
- 1:09that particular product.
- 1:14Returning to agent CRM, click on account
- 1:16customizer
- 1:20and move ahead to the calendar tab.
- 1:24Select the calendar
- 1:28or bundle that you wish to use. In this
- 1:31example, we're using Medicare. However,
- 1:34you can edit multiple ones by returning
- 1:36to this page and choosing the additional
- 1:39forms.
- 1:41Look for policy update form and paste
- 1:43the link, hitting submit.
- 1:47This will activate your policy sold
- 1:50form.
- 1:52Now we can return to contacts and see
- 1:55what happens as we engage with a
- 1:57contact.
- 2:00In this example, Lord Darwin is a lead
- 2:04that we wish to mark as sold.
- 2:07We can see here that we just had an
- 2:09appointment by looking for the
- 2:10disposition dropdown
- 2:14on the top right. Notice policy updates.
- 2:18Clicking on this will expand to see all
- 2:20of the activated policy fields. If we
- 2:23have additional products that we sell,
- 2:25we can also add those by following the
- 2:27previous steps.
- 2:31Clicking Medicare will open up the
- 2:33Medicare policy form, allowing me to
- 2:36update all the essential information so
- 2:38I can log it for records inside of a
- 2:40CRM's system. Information about the
- 2:44carrier, effective date, monthly
- 2:46premium, or any other relevant policy
- 2:48fields can be simply and conveniently
- 2:51updated here.
- 2:53Once we've made those adjustments, we
- 2:56can hit sold and reviewed.
- 2:59Notice that these fields are not
- 3:00required or essential to complete.
- 3:05You can simply update by returning at
- 3:07any point. However, marking as sold and
- 3:10hitting submit
- 3:13will log those records in your system,
- 3:15triggering future events.
- 3:20Notice that hitting that form submission
- 3:22sent an email and a text saying,
- 3:24"Congratulations on your new plan. Look
- 3:27for an email."
- 3:29additional administrative actions took
- 3:31place
- 3:33and further things are happening behind
- 3:35the scenes to ensure that that client is
- 3:37now taken care of on a deeper level.
- 3:43If I hit refresh, any of the policy
- 3:45fields that I updated in that form will
- 3:48now be visible
- 3:50in the custom fields. See that the
- 3:53disposition is now marked as sold and
- 3:55reviewed. And if I go to the
- 3:57opportunities tab,
- 3:59that contact will now move on to the
- 4:01next stage. Notice Lord Darwin now in
- 4:04the 4.0 green sold and reviewed stage
- 4:09to see what's happening behind the
- 4:10scenes. We can click on automations
- 4:14Medicare assets
- 4:164.0 green and we can find the companion
- 4:19workflows.
- 4:24The act of me changing that status
- 4:27ensures that they come in and all
- 4:29updates take place. Whether it's
- 4:32removing them from nurturing sequences,
- 4:34sending them important information about
- 4:36next steps,
- 4:38cleaning up any of the tags, and more.
- 4:41Marking them as sold adds them to future
- 4:44workflows as well, including cross-ell
- 4:46campaigns as well as referral requests
- 4:49and finally renewal or review stages.
- 4:53Just the act of submitting that form
- 4:55with adjustments to the disposition
- 4:57triggers all these actions.
- 5:00Once they're marked as sold here, make
- 5:02sure that you complete your policy
- 5:04servicing steps in your carrier or FMO
- 5:07portal. Things like entering the
- 5:08application, setting the effective date,
- 5:10and issuing policy number will take
- 5:12place on your other portals. All the
- 5:15automations, marketing and nurturing
- 5:17will take place inside of agent CRM as
- 5:20you update these fields and fill in the
- 5:22forms.
- 5:27If anything changes related to that
- 5:29policy at any point, simply come back,
- 5:32click on the form, fill in the
- 5:34information, and you can leave the
- 5:36disposition as you currently see it. Or
- 5:38you can trigger future events like a
- 5:40referral request
- 5:42or more by changing the disposition and
- 5:45hitting submit again to update your
- 5:47records.
