- 0:08they're continuing webinar series I am
- 0:11your host Marcus Merritt today we are
- 0:15gonna talk about suggestions and
- 0:17advanced packages and I wanted to speak
- 0:21really briefly about why I specifically
- 0:23wanted to cover this topic now part of
- 0:25that is because it's kind of a
- 0:26continuation or building on the previous
- 0:30topic of containers and packages but
- 0:35there's also another more specific thing
- 0:37so during these unprecedented times and
- 0:41during these struggles a industry
- 0:43advisor and leader Tom Stimpson with the
- 0:46Stimson group has been doing a webinar
- 0:48called the show will go on business
- 0:50survival series every week he's done it
- 0:53of eight or nine weeks so far I'm sure
- 0:55some of you are already taking part of
- 0:57this already listening in if not I
- 1:00highly advise that you do he has really
- 1:02great information it is free I've been
- 1:05trying to watch these two listened in on
- 1:07these both for advice on what I can do
- 1:10but also for advice on what I can then
- 1:12share with our customers at flex to kind
- 1:14of continue to help and there's a
- 1:17specific thing he has talked about in
- 1:19this that I'm hoping that this topic
- 1:22today will help people on specifically
- 1:24that he's spoken a bit about how as we
- 1:29start to get the industry coming back as
- 1:31events start to come up things will be
- 1:33still slow going it's not going to just
- 1:35be an on and off switch you know right
- 1:37away it's gonna be a slow where people
- 1:39are gonna not be and so companies are
- 1:41gonna need to be much more streamlined
- 1:44and efficient to help to make sure they
- 1:47continue to survive and so I want to
- 1:50talk about ways to build packages to
- 1:52help that efficiency to to simplify
- 1:56things that way in the way that kind of
- 1:57tom has explained in some of his his
- 2:00discussions on on being better to to you
- 2:04know show to quickly quote what you need
- 2:08to the customer and to pull and prep to
- 2:11that customer without having to do a lot
- 2:13of time and customization and things so
- 2:15that's specifically one of the things I
- 2:16want to make sure to cover today
- 2:18one of the great things for today just
- 2:20want to make sure is that everything we
- 2:22will talk about today I can cover in
- 2:24Flex 5 this is actually features that
- 2:26are very strong and robust in Flex 5 and
- 2:28even better than in Flex 4 so that's
- 2:30really great with that so the first
- 2:33thing we have to talk about is
- 2:34suggestions suggestions are very
- 2:36powerful tool to be able to control what
- 2:40happens with items and kind of options
- 2:43in them and but I'm going to talk to
- 2:45them specifically about advanced
- 2:47packages today but for suggestions we
- 2:50can go to our trop menu inventory and
- 2:54then our suggestion types okay
- 2:58so this is the list there's in a
- 3:01baseline system these four exist and
- 3:03I've added a few other in prep for this
- 3:05webinar today okay when we are working
- 3:09with suggestions there's three main
- 3:11settings we have to understand with each
- 3:14new suggestion type and I'm going to go
- 3:16ahead and make a new suggestion for
- 3:19example but first we just want to talk
- 3:21about these three main settings
- 3:24so the three main settings is required
- 3:28yes or no when multiple items are put
- 3:32into a suggestion they will create a
- 3:34pop-up window that will then say hey
- 3:37here's some items that are suggested if
- 3:39you say there you require yes on this
- 3:42suggestion type it says the person
- 3:45cannot go forward without selecting at
- 3:47least one item from this tab if you have
- 3:51a bunch of different items if let's say
- 3:53we use it on the idea of power cable and
- 3:56you have different lengths it doesn't
- 3:59say they have to pick the right thing
- 4:01they just can't skip it completely
- 4:03they've got to pick something okay
- 4:04that's all the thing - with required use
- 4:07it or not use it as you decide after
- 4:09that is included in price also just yes
- 4:13or no for this it's saying is this item
- 4:18when added part of the price of the
- 4:21initial item as in it's not going to add
- 4:24any additional cost to the customer and
- 4:26the additional price or is this item
- 4:30supposed to add additional cost okay
- 4:33this is in the idea of this an accessory
- 4:36is this for a a speaker and this is a
- 4:38mounting bracket that you don't charge
- 4:39the customer for there's just two or
- 4:41three different ways to mount it and so
- 4:43you want to put those options for
- 4:44yourself to choose but you charge the
- 4:46customer for the speaker not the
- 4:48mounting accessory or is this more like
- 4:52console and you want to say oh there's
- 4:55some options for these extra processing
- 4:58but if I add them the customer has to
- 5:00pay for those and that's kind of that
- 5:02important difference in them with that
- 5:06then our third setting is our
- 5:08Association type this is where we set
- 5:11where I'm going to either have it as add
- 5:13as a child or it's going to be
- 5:15underneath it indented and will collapse
- 5:17inside the the child structure as the
- 5:20next sibling so it'll just go underneath
- 5:23the item right next to it wherever you
- 5:25put that initial item or using the
- 5:29default sorting method and that's about
- 5:31what current drop mode you're in if
- 5:33you're currently on auto insert or add
- 5:36now if you're on insert or add it will
- 5:39act very similar to as add as an X if
- 5:42link it'll end up just right next to the
- 5:44item okay but if you're on use default
- 5:46sorting method and you're on auto and
- 5:49this item that you pulled in was in a
- 5:52category called audio but that other
- 5:54item was in a category called rigging
- 5:56they'll go into two separate subtotals
- 5:59okay and that may be what you want to
- 6:01use there are lots of times we do that
- 6:03so it's just important to understand
- 6:05what's going to happen now the thing I'm
- 6:08gonna actually add here really quick and
- 6:11you see at the bottom here is I have
- 6:13some generic suggestion types this one
- 6:16called contents no charge where I'm just
- 6:18describing hey it's going to be a child
- 6:20and it's included in price yes and this
- 6:23one says contents additional charge as a
- 6:25child included in price no okay I'm
- 6:29gonna add for this one I'm just gonna
- 6:30call sibling
- 6:32if Chenal cost okay so we're gonna say
- 6:36included in price no I'm going to not do
- 6:39required and I'm gonna say add as next
- 6:41simply
- 6:43I like to do this because sometimes when
- 6:47you having multiple suggestions on
- 6:50something you don't always want them to
- 6:52be separated into two or three different
- 6:54tabs okay you may just go there's only
- 6:57three items I'm okay if all of them live
- 6:59together and so by using these generic
- 7:01ones you don't have to create as many
- 7:03separate as yes tchen types okay so
- 7:06that's the one I'm going to create here
- 7:08but what I want to highlight here is at
- 7:10the top where I have this one that says
- 7:13speakers babo mixers babo just note this
- 7:16means build a breakout okay that's what
- 7:19I have this for build a breakout and so
- 7:21this is where I'm using the fourth
- 7:24setting that's a pseudo setting the name
- 7:27okay
- 7:28that is where we'll see all three of
- 7:31these have the same thing where they say
- 7:33required no included in price no add as
- 7:36next sibling okay all three of those
- 7:38settings are the same but because they
- 7:40have different names that's going to
- 7:42create multiple tabs in my suggestion
- 7:45pop up giving me somewhat of a multi
- 7:48chap checklist okay and I'm going to
- 7:51show how that works in our first package
- 7:54so that's the the key thing and it's
- 7:57important to understand that with those
- 7:59couple little tools you can accomplish a
- 8:01lot with suggestions suggestions can be
- 8:03quite powerful but you have to
- 8:06understand what do you want to
- 8:08accomplish with this item how do you
- 8:11want to present the information to your
- 8:12customer of what you're trying to quote
- 8:15to them okay
- 8:16so for that what I'm going to do in this
- 8:20is I'm going to share four different
- 8:23ways to do basically the same package
- 8:27using different settings within the
- 8:30suggestion types okay so we're gonna go
- 8:33to my quote here on the details and
- 8:36we're gonna start with this build a
- 8:39breakout real one then I call it here
- 8:41now when I open this up we've seen that
- 8:44I've actually made the long name called
- 8:46breakout room includes the following
- 8:48time this is a very common current
- 8:51method for people where this is more
- 8:54like I'm building a a
- 8:56checklist or a shopping list potential
- 8:59for my salesperson okay so for this I'm
- 9:03gonna go to the suggestions of which I
- 9:06can tension allele EFT this blank for
- 9:07now to build these suggestions on this
- 9:10one thing real quick gonna highlight is
- 9:12that this item is a virtual model okay
- 9:17virtual model meaning this isn't an
- 9:19actual thing that exists and it's going
- 9:22to be completely made up of suggestions
- 9:24because we don't have any contents we
- 9:26don't have the contents tab for it
- 9:28okay so it's completely about its
- 9:30suggestions so for this I'm actually
- 9:33just gonna do audio for this I'm gonna
- 9:35keep this really simple that's why the
- 9:36rest of my should just say breakout
- 9:37audio so for this I'm gonna go to my
- 9:40speakers and again I'm gonna keep this
- 9:43simple normally if I was building a
- 9:45checklist maybe I have two or three
- 9:46different kinds of speakers maybe I
- 9:48guess I could just show this I'm gonna
- 9:50say oh I'm gonna put the option for
- 9:52these VR X's and I'm gonna put the
- 9:55option for k eights in here as speakers
- 9:58and then I'm gonna go to consoles and
- 10:01I've got a console again if I was doing
- 10:05this on a real basis I would put two or
- 10:06three different consoles in here for
- 10:09some options for my sales guy I'm gonna
- 10:13put some microphone again normally I
- 10:16would have two or three maybe I also
- 10:17have a podium mic maybe I have a wired
- 10:19mic maybe different brands of wireless
- 10:20or different styles keeping this a
- 10:23little simple on purpose and then the
- 10:25one other thing I want to show is that
- 10:26you can also add Labor to suggestions
- 10:29okay so I'm gonna go to my labor and add
- 10:33a breakout room technician okay so now
- 10:36that I've added this and again I would
- 10:38have you know multiple things we are
- 10:39listed be a little longer in this I now
- 10:42need to classify where each of these go
- 10:45as a suggestion type okay um one key
- 10:48thing show is that in flex 5 I can
- 10:51select multiple and I can bulk edit them
- 10:54to say oh I want both of these to be in
- 10:58the speaker's build a breakout room
- 11:00setting hey don't want them to go into
- 11:03that tab I'm gonna do these ones the
- 11:05simple way because I only put one on
- 11:06tensional II I'm gonna put mixers
- 11:10I'm going to do mics and then I'm gonna
- 11:15put my breakout room under one I call it
- 11:17labor and the specific of this is on
- 11:19this one I said I want this to use
- 11:21default sorting method where's the rest
- 11:23of them are intentionally added as and
- 11:27so now that I have those in there I can
- 11:32go back to my quote and I can go ahead
- 11:35and quote this now I'm on auto here so
- 11:38by dragging this item it's gonna create
- 11:40an audio subtotal but you'll see my
- 11:43labor is gonna automatically go into a
- 11:45labor subtotal okay so I'm gonna go like
- 11:49I'm building one breakout room and in
- 11:52this on our our theoretical situation
- 11:54we're doing a room for up to a hundred
- 11:56people maybe they have 75 or 80 and I go
- 11:59oh well that could be done with two of
- 12:01these k eights and I'm gonna use one of
- 12:04this mixer I'm gonna give them two
- 12:07wireless microphones and we're gonna say
- 12:09that one day of one breakout room is
- 12:11technician is what is required for this
- 12:13example
- 12:15so we're after we've selected those
- 12:16we're going to go ahead and hit accept
- 12:17and let those file onto our list and so
- 12:23for this we'll see those went in here so
- 12:26now that we have this thing the breakout
- 12:29room includes the following and we have
- 12:32a list of our parts no yes I haven't put
- 12:33cable and other accessories that we
- 12:35would need keeping this simple just to
- 12:37explain the process on this and and each
- 12:40of these items have added their own it's
- 12:43in here hmmm so with this we would now
- 12:47have the ability so the customers gonna
- 12:49see a fairly basic hey breakout room
- 12:52includes the following I've got two
- 12:53powered speakers I've got one mixer I've
- 12:55got two mics we have some other
- 12:57accessories and we've got this one
- 12:59technician over here in a separate
- 13:00subtotal and we've got our grand total
- 13:02okay this is a very common way to do it
- 13:05the way we do it this way the key in
- 13:08this is this gives us a lot more
- 13:10customization options but it's less time
- 13:14efficient if we have again think of if
- 13:16every time I've got four speakers five
- 13:18mixers three different mic options I'm
- 13:21picking
- 13:22choosing every single time and we we
- 13:25feel like that customization is a value
- 13:28to the customer but the customer most of
- 13:30the time doesn't know what they want or
- 13:32need anyway that's why they're coming to
- 13:34you and so you can work towards just
- 13:37deciding what's the right thing and
- 13:39building your package to be more quick
- 13:41and automatic to save yourself time okay
- 13:44now there still is nothing wrong with
- 13:46doing this but on the instructions of
- 13:48time I'm giving I'm highly suggesting we
- 13:51look at kind of some of these other
- 13:52options of other ways to do it okay so
- 13:56in this and I'm actually going to change
- 13:58how I'm doing this so what I'm gonna do
- 14:01really quick now is I'm gonna go ahead
- 14:04and kick out a word for this to see how
- 14:06the customer would see this because I
- 14:09want to show the different looks of
- 14:12between these four different ways I'm
- 14:13going to do this hmm so we're gonna kick
- 14:15this out and see here again so we've
- 14:18seen hey one breakout room includes the
- 14:20following we've got our parts and pieces
- 14:22we've got our technician all comes to
- 14:24the same grand total okay so now we're
- 14:28gonna go back here and I'm gonna clear
- 14:31this we're gonna delete the lines and
- 14:37we're gonna show the second way to do it
- 14:40this is a way where I've pre decided
- 14:43that if they have a number that says is
- 14:45going to be up to 100 people okay
- 14:47somewhere in the 50 to 100 range people
- 14:49for audio I'm just gonna pre decide that
- 14:52I want two of those K eights one in that
- 14:541402 two microphones okay now
- 14:56occasionally go but I have these other
- 14:58speakers of these other microphones you
- 15:00can do those switches internally again
- 15:02for a lot of customers they don't know
- 15:04the difference okay
- 15:06you're just figuring the fastest easiest
- 15:08way to communicate what you want to do
- 15:10to them okay so what we're going to do
- 15:12this way is this one is where we still
- 15:15want the details but we're going to have
- 15:17it automatically do the package okay so
- 15:20in this um ear one note here this one
- 15:25now is called breakout room audio for up
- 15:28to a hundred attendees includes
- 15:30dot-dot-dot and it is still a virtual
- 15:34model
- 15:34it is still a hundred percent suggestion
- 15:36built what we're gonna do with it this
- 15:39time is we're gonna go to our
- 15:41suggestions and I've already added those
- 15:44same suggestions here but I haven't
- 15:46classified them yet what I'm going to do
- 15:48this time is I'm going to select all of
- 15:50them and bulk at it and I'm gonna both
- 15:54say I want these to all be auto included
- 15:57and I want them to all be that newest
- 16:00when I created my sibling additional
- 16:02cost okay we're gonna say update so
- 16:07they're all in one thing and they're all
- 16:09going to automatically include and what
- 16:11that just means is it's gonna get rid of
- 16:14the time of picking and choosing our
- 16:16list but otherwise it should land
- 16:19basically the same now in this one
- 16:22though technically the breakout room is
- 16:23going to be different there so let's do
- 16:26this I'm gonna actually change this I'm
- 16:28going to change this way back to the
- 16:29labor
- 16:30Bobbo but we're still going to leave
- 16:32them as auto included so here this will
- 16:34will actually look identical but my
- 16:36effort when I go to quote it I just pull
- 16:43it the items show up and I'm done okay
- 16:46so I free decided what my package is
- 16:49what my kit is and I've made it so the
- 16:51sales guy can just go grab it and drag
- 16:53it on now you say well but what if it's
- 16:55for a different thing my other option
- 16:57gave me the option to when I was a room
- 16:59for 250 say I needed four speakers or I
- 17:02needed six speakers well what you do for
- 17:05that is you pre build those other
- 17:06package levels so you have the one for a
- 17:09hundred the one for 200 or 250 the one
- 17:11for whatever kind of break points you
- 17:13want to have so again your sales person
- 17:15at that point just has to go oh that's
- 17:17what you want great grab the package
- 17:18drag it on there send the quote off
- 17:20you're done okay that's kind of the
- 17:22option there so we're gonna go ahead and
- 17:24print this report really quick to see
- 17:31our comparison and so we see again that
- 17:35other than I slightly changed the name
- 17:37where I was saying hey this is room we
- 17:39said this is audio for a hundred
- 17:41attendees because I pre decided whereas
- 17:43this one
- 17:44it was variable other than
- 17:46that nothing is changed on this it's
- 17:48basically the same information him now
- 17:52the next option in this that I want to
- 17:55talk about is instead by doing this as
- 17:58more of focusing on selling a service
- 18:00okay that's a thing that Tom talks about
- 18:03in his that you're selling a service and
- 18:06you can especially after these
- 18:08situations be able to tell customers
- 18:10this is one of the best times we will
- 18:12say hey we've had to adjust the way we
- 18:14do business and I don't show details
- 18:17anymore I'm selling a service I'm
- 18:18selling what I what I'm providing for
- 18:21you okay so for this we are gonna go to
- 18:24this breakout audio no details okay for
- 18:30this instead I've made this one it's
- 18:34still here now we've actually done this
- 18:36noticing includes we've changed it to
- 18:38say breakout room audio for up to a
- 18:40hundred attendees with up to two
- 18:43wireless microphones note on that that's
- 18:45again a thing that I got from Tom Tom
- 18:47really likes on that up to you know if
- 18:49you're even doing a just a full you know
- 18:51band thing you're saying oh you know are
- 18:53we gonna piay with up to eight mixes and
- 18:56you know up to blah blah dude you can
- 18:59use that to just help to say hey I don't
- 19:01care if you want six or five or four the
- 19:03package is up to eight it's up to eight
- 19:05mixes that's what we're providing for
- 19:07you okay so you can just decide I think
- 19:09generally the size of room should have
- 19:10two wireless microphones so I'm gonna
- 19:12say up to two wireless microphones if
- 19:14you say one go great that's included
- 19:15you're taking care of that's that's
- 19:17provided in the package mm so we have
- 19:21that there and when I've done on this
- 19:24one is I changed it to a virtual package
- 19:27so now we have the model contents mm now
- 19:34by the model contents that gives us this
- 19:37content tab now the one thing that's
- 19:40important to understand first is in the
- 19:42content tab we can't put labor or
- 19:45services in the contents tab so that
- 19:47labor position we still have to put as a
- 19:49suggestion that is set is auto included
- 19:52okay now this time I still want it to be
- 19:55contents no charge because it's part of
- 19:58my package that I'm selling as a serf
- 20:00okay that baseline ever now it's
- 20:02important to note that if for some
- 20:04reason their schedule is long and you
- 20:05need extra labor you put that out
- 20:07separate as oh this is overtime labor
- 20:09this is extra you know whatever you
- 20:11don't have to just suddenly eat overtime
- 20:14because you're sewing as a package
- 20:15you're just saying the baseline labor is
- 20:17part of the initial package and um the
- 20:20key thing is being this I I could put
- 20:24all of these items in his suggestions
- 20:26that say Auto include yes and contents
- 20:28no charge and they will show up on the
- 20:30quote identically the only difference is
- 20:33flex has an ability to look at this and
- 20:36try to calculate availability for you in
- 20:40suggestions it will never calculate that
- 20:42even when the items are set is ought to
- 20:44include yes and so that's the only
- 20:46difference in the thing you have to kind
- 20:47of consider maybe you want it to work
- 20:49that way maybe you don't and so in here
- 20:54we're gonna go back to quotes now we're
- 20:58gonna clear this way of doing it and now
- 21:07we're gonna go ahead and quote this guy
- 21:10and we'll see that we've got all the
- 21:13items on here again but when we go and
- 21:18print our report for our customer we'll
- 21:25see they get a very simple information
- 21:27of one line break out room audio for a
- 21:30hundred attendees up to two wireless
- 21:31microphones that's all they're getting
- 21:33okay you're selling a service that
- 21:35package thing what is taken care of
- 21:38doesn't really matter you've made a
- 21:40promise to them to make it work and to
- 21:42make it taken care of they've made a
- 21:44agreement to pay what you've asked for
- 21:46that package hmm now one important thing
- 21:51with this though is by doing it this way
- 21:55we've made it so that I put all the
- 21:59price in the actual package itself and
- 22:03all of the items are free okay we've
- 22:07just put the package up here okay this
- 22:11is more like our screen package that we
- 22:13showed
- 22:14where we decided that way okay it still
- 22:16can work we did the math ahead of time
- 22:18and it made it work where it's the same
- 22:21math it's the same cost it's just that
- 22:24we've decided to package everything
- 22:27there and track it as how many of these
- 22:29packages have we sold how many of this
- 22:31service have we sold that's where we're
- 22:33tracking our specific mana you know our
- 22:35bra revenue okay but maybe I therefore
- 22:38you want better tracking on how much
- 22:41you're making on separate items or
- 22:43you're worried about maybe taxing a lot
- 22:45of pieces in us you need to charge tax
- 22:47on the gear but not on the labor this is
- 22:50trying to get around this you're worried
- 22:52the IRS or you know some other tax
- 22:53agency is going to be more upset at that
- 22:56so I want to show a different way to do
- 22:58this but the money separated out for
- 23:01that and for that we have our fourth one
- 23:05here where we say that break out audio
- 23:08for a hundred price mute is what I
- 23:10called this and now if you had just
- 23:12decided how it was gonna work you
- 23:13wouldn't need to name it that way but I
- 23:15did that for my division here now on
- 23:18this we went back to being a virtual
- 23:20model so we're gonna be a hundred
- 23:21percent in the suggestions and and what
- 23:26we've done instead is we've set it to be
- 23:28Auto include but we've said their
- 23:31contents additional cost okay they're
- 23:34all contents they're all children but
- 23:38they're actually going to add their own
- 23:39cost okay so the pricing on this item is
- 23:43zero okay so we'll go back here to our
- 23:51original thing I'm gonna clear this one
- 23:53more time delete these lines
- 24:03we're gonna add this guy now again I've
- 24:05built this so this is Auto include so
- 24:07it's one drag-and-drop and it's taken
- 24:09care of okay so for this one we see we
- 24:14have the same price but each of these
- 24:16items here are adding their own price
- 24:19the key with this one is you have to be
- 24:22careful because if I run the report the
- 24:25same way here at this point I run this
- 24:28Flex default report it's going to say
- 24:35this package is zero dollars adding to a
- 24:38total of 935 and the customer is going
- 24:40to be very confused okay so we have to
- 24:43be careful for this we have to do one of
- 24:46two things we have to either go in and
- 24:49price mute this section so that we don't
- 24:53show them the line item details they
- 24:55don't see that the package itself is
- 24:56zero they just see that the subtotal is
- 24:59the total cost its then communicating
- 25:01the same information or the other thing
- 25:04we can do if we know we're gonna work
- 25:06this way we can pre decide to use a a
- 25:10report that doesn't print those details
- 25:13ever so you don't have to manually
- 25:15pricing it okay in every one system an
- 25:18example of that is this quote with
- 25:20subtotals look B I made this updated
- 25:23well flex quote with subtotals that I'm
- 25:25going to use so I don't have it price
- 25:27muted but I'm gonna go ahead and
- 25:28generate this report and we'll see here
- 25:33again that I've said breakout room audio
- 25:35for up to 100 attendees and then I've
- 25:37got no information here but they see
- 25:40that oh my audio for that is 935 okay so
- 25:44I'm still communicating or enclose this
- 25:47version of still communicating the same
- 25:49total is here they just don't see her
- 25:52that package they only see for the
- 25:53entire area am and so you just have to
- 25:57pick and choose between this what works
- 25:58best for helping you what works best to
- 26:01communicate this information um but it's
- 26:04definitely really good on that idea of
- 26:06selling the service communicating the
- 26:09core of what they're getting and then
- 26:11leaving the rest as a commitment of hey
- 26:13you're taken care of we'll take care of
- 26:15it that's why you're hiring us
- 26:17we are the professionals hey so now
- 26:19obviously this works with lots of other
- 26:22packages lots of other things it doesn't
- 26:24just about this you just have to kind of
- 26:25extrapolate that information out to your
- 26:28organization itself what you are doing
- 26:30whether it's you're providing for a
- 26:33bandage whether you're providing you
- 26:35know video all of those same things it's
- 26:37just about using the different settings
- 26:39within those suggestions to accomplish
- 26:42what you're trying to accomplish and
- 26:44that's why it's important to always
- 26:44remember think toward that end goal
- 26:46where are you trying to get to and then
- 26:48focus on
