  1. 0:00How do I know what messages are being
  2. 0:02sent to my contacts? How do I know where
  3. 0:04that message is coming from? We're going
  4. 0:07to dive into that in this video,
  5. 0:09exploring the campaign tracking or
  6. 0:12workflow tracking so that we know how to
  7. 0:14add or remove people when necessary.
  8. 0:18There may be some times or examples
  9. 0:20where messages get sent either by an
  10. 0:22automation that you've created or maybe
  11. 0:24you skipped a step or something happened
  12. 0:26along the way where this message should
  13. 0:29not be sent anymore or what messages are
  14. 0:32they still being enrolled in.
  15. 0:35On the right hand side, we're going to
  16. 0:37go to the contact profile and we're
  17. 0:39going to explore the section called
  18. 0:41actions. You can review
  19. 0:45by default all fields. You can see the
  20. 0:48DND or do not disturb section, but the
  21. 0:50last section is where the activity or
  22. 0:54active enrollment of campaigns happens.
  23. 0:57I can see at the top tags. And from time
  24. 1:00to time, you may want to delete or add
  25. 1:03tags in this section. For example, if
  26. 1:07they've already become a Medicare
  27. 1:08client, I actually don't need to nurture
  28. 1:11them anymore. Or maybe I like the
  29. 1:13nurture sequence and I want to keep it
  30. 1:15on uh they're a Medicare client. I can
  31. 1:17see that by the tag final expense. So
  32. 1:21cleaning up as we go. Every so often
  33. 1:23we're just going to see what tags are
  34. 1:25present.
  35. 1:27But really where we track is under
  36. 1:30workflows itself. We can see active and
  37. 1:33past workflows. Notice in this example a
  38. 1:37string of numbers. That's because the
  39. 1:38workflow has been deleted from this
  40. 1:41account. But we could see in other cases
  41. 1:44all of the previous actions or workflows
  42. 1:47that they were a part of.
  43. 1:50In this example, I can see that this
  44. 1:52contact is still getting referral
  45. 1:54requests. They're still getting nurtured
  46. 1:56in Medicare. They're still on the
  47. 1:59crossell campaign. And there's still a
  48. 2:02new lead campaign.
  49. 2:04Now, I know that if they are getting
  50. 2:09cross cells, they're probably already a
  51. 2:12client. So, for me, I know the system
  52. 2:14enough to know probably want to remove
  53. 2:16them from some stuff. But if you think
  54. 2:18that something is not being sent
  55. 2:20properly, you can just remove from that
  56. 2:23workflow a simple X,
  57. 2:27remove from workflow. that will end the
  58. 2:30messages or communication that are is
  59. 2:33coming from that automation. But how do
  60. 2:36I know where the automations are uh
  61. 2:38sending? What is this message being
  62. 2:40generated from? For example, this
  63. 2:43message just went out with my photo. Hi
  64. 2:46Kevin, thanks for requesting information
  65. 2:47about health insurance plans. Let's say
  66. 2:50that a message that you didn't want was
  67. 2:53sent out or you like it and you want to
  68. 2:57modify it. If you click on those three
  69. 3:00dots, those little edit dots, we can
  70. 3:02click
  71. 3:04details, and then notice the ability to
  72. 3:07shortcut or go back to that exact
  73. 3:10source. Where is that message coming
  74. 3:12from? And this is the ACA new lead
  75. 3:16campaign.
  76. 3:18So, knowing that, I can come around, I
  77. 3:20can make changes here if I want because
  78. 3:22I I want to change the language of that
  79. 3:24text. So I I go in and I find that
  80. 3:27message and
  81. 3:29hey
  82. 3:30look there's my photo profile photo. So
  83. 3:33I can edit this photo by backtracking
  84. 3:36from this screen. But also in this case
  85. 3:40I discovered where is this being sent
  86. 3:43from? It's being sent from this
  87. 3:45automation. And I can go into actions
  88. 3:48workflows and then I might say I just
  89. 3:50sold this dude. I'm already his his uh
  90. 3:54his guy. So, let's just make sure we
  91. 3:56remove him from this active campaign.
  92. 4:00Remove.
  93. 4:03Now, he's no longer going to receive the
  94. 4:05messages that are not right for him. So,
  95. 4:08again, that's going to be under contact
  96. 4:12profile. Inside the contact profile,
  97. 4:14you're going to click actions and you're
  98. 4:16going to go all the way down to
  99. 4:17workflows to review what are the active
  100. 4:20workflows that this contact is engaged
  101. 4:23in.
  102. 4:28One more note about this is that most of
  103. 4:31the branding bundles are designed so
  104. 4:33that context should be removed from the
  105. 4:36right things at the right point.
  106. 4:40For example, new lead is a campaign
  107. 4:43where we're pushing them into, hey,
  108. 4:46let's get on a call.
  109. 4:48But if I've already booked a call, they
  110. 4:50shouldn't get this messaging anymore,
  111. 4:52right?
  112. 4:54We've designed it in such a way that if
  113. 4:56they flow through our system naturally
  114. 4:59going through each step,
  115. 5:03look at appointment reminders as an
  116. 5:05example.
  117. 5:07we are removing them from those
  118. 5:10workflows naturally.
  119. 5:13You can see here, let's move myself
  120. 5:15over. We can see on this that if an
  121. 5:19appointment is booked, that's the
  122. 5:21trigger. We're going to take them out.
  123. 5:24We want to remove them from those
  124. 5:26workflows that don't work. Let's hit
  125. 5:29cancel. If you're building your own
  126. 5:31workflows, try to consider what actions
  127. 5:33you might need to add. If you need to do
  128. 5:36a
  129. 5:38uh let's see here workflow
  130. 5:42remove from workflow is an action and
  131. 5:45we're going to select another workflow.
  132. 5:48We can add all the workflows that we
  133. 5:50want to automatically remove them from.
  134. 5:53We shouldn't have to manually remove
  135. 5:57people. But if you ever have questions
  136. 5:59about where is this message coming from?
  137. 6:02How do I monitor what messages they're
  138. 6:04receiving
  139. 6:06or any of those other questions? Also,
  140. 6:09how do I clean it up? We can just simply
  141. 6:11review here in this section.
  142. 6:14Additionally, you can manually add
  143. 6:15people to automations from here just
  144. 6:18like you could from the the contact all
  145. 6:20view. We covered that in a previous
  146. 6:22video how to bulk do this to a larger
  147. 6:25list. But here we have the ability to
  148. 6:27send automations at a later time if we
  149. 6:31want to schedule that or add it
  150. 6:33instantly. So that's how to cover
  151. 6:35reviewing. Make sure to keep track, keep
  152. 6:37organized data, review this periodically
  153. 6:40as you're just interacting with a
  154. 6:42contact or if you're trying to
  155. 6:44troubleshoot along the way. This is the
