Microsoft SharePoint Administration Training: A Tutorial Guide for Admins of Sharepoint — Transcript

- 0:14SharePoint admin Center course now this
- 0:17course is divided into eight sections
- 0:20and by the end of it you'll be able to
- 0:21work with classic and modern SharePoint
- 0:24sites now this may seem slightly unusual
- 0:27due to the fact that this course is
- 0:28aimed at SharePoint administrators and
- 0:31Microsoft 365
- 0:33administrators not designers as such in
- 0:37my experience however these roles are
- 0:38very often called upon to assist uh
- 0:42support and sometimes to lead in the
- 0:44actual design of these SharePoint sites
- 0:47admins will need to know how to manage
- 0:51these sites and also how to delete
- 0:54restore and uh work with version history
- 0:57as an admin you are also much more
- 0:59likely to be asked to manage web Parts
- 1:02libraries and lists in SharePoint and
- 1:05with that comes a need to understand all
- 1:07of the sharing options that are
- 1:09available through the SharePoint admin
- 1:11Center that includes sharing settings at
- 1:14an organizational level as well as
- 1:17things like managing site administrators
- 1:20as well as the sites files folders
- 1:23libraries that they produce so this
- 1:26course assumes you have no prior
- 1:28knowledge on SharePoint admin Center but
- 1:30you do have a solid understanding of
- 1:32networking principles such as sharing
- 1:35restoring Version Control and
- 1:38permissions the key part of this course
- 1:40is all about navigating the admin Center
- 1:43in as much detail as possible to locate
- 1:46the SharePoint admin Center
- 1:48functionality so without further Ado
- 1:51let's go straight on in and begin the
- 1:53course SharePoint and one drive in
- 1:56Microsoft 365 are cloud-based Services
- 2:01they will help your organization share
- 2:03and manage content knowledge and
- 2:06applications so that you can work across
- 2:08teams quickly and locate information and
- 2:12collaborate across the entire
- 2:13organization the content available
- 2:15throughout this course is designed to
- 2:17get you started now depending on the
- 2:20needs of your organization you may want
- 2:22to read more about topics such as
- 2:24migration and governance options before
- 2:27you start rolling out SharePoint and one
- 2:29drive out to your users migration refers
- 2:32to the requirement many organizations
- 2:34have to move files to SharePoint and one
- 2:37drive there are several Microsoft
- 2:40resources available which we will
- 2:42provide links to at the end of this
- 2:44course s carefully if your organization
- 2:47has legal or other requirements that
- 2:49govern the handling of data or if you
- 2:52have sensitive or confidential
- 2:53information that you want to protect
- 2:56these references can be found at the end
- 2:58of the course and will help you to
- 3:01configure SharePoint for your governance
- 3:03standards and policies if you use one
- 3:06drive in your organization and you want
- 3:08to protect important files by saving
- 3:10them to the cloud and govern how much
- 3:12storage space users get or govern how
- 3:16users sync files we will include
- 3:19references in this course to help you
- 3:21configure your
- 3:23policies SharePoint is deeply integrated
- 3:26into teams files that are stored in
- 3:29teams sites are actually stored in
- 3:32SharePoint sites when you administer
- 3:34SharePoint sites in the SharePoint admin
- 3:36Center you may find that many of them
- 3:39are connected to teams so for that
- 3:42reason we will provide you with a number
- 3:44of valuable resources to help you
- 3:46understand how SharePoint and teams are
- 3:49integrated SharePoint and one drive
- 3:52provide a rich collaboration environment
- 3:54where people inside and outside your
- 3:57organization can work together
- 3:59co-authoring documents Microsoft 365
- 4:03provides a variety of options to help
- 4:05you to create a secure and productive
- 4:08file collaboration environment that
- 4:11meets the needs of your
- 4:13organization if you want to learn more
- 4:16you can use the provided resources to
- 4:18get
- 4:19started so with all that context in mind
- 4:22let's now continue and focus on the
- 4:24navigation of the SharePoint admin
- 4:28Center
- 4:33welcome to SharePoint admin section
- 4:36two creating sites once you have
- 4:39completed this module you'll be able to
- 4:42create edit and view modern and classic
- 4:45sites from SharePoint admin Center
- 4:48recall key differences between modern
- 4:50and classic sites filter edit and View
- 4:54using the active sites
- 4:57list and add remove and manage members
- 5:01owners and admins for all types of
- 5:03SharePoint
- 5:05sites at the end of the last module we
- 5:07were looking at active sites this was to
- 5:10view the amount of storage available and
- 5:12the total storage for your
- 5:14subscription staying with the active
- 5:17sites page let's now look at it in a
- 5:19little more
- 5:21detail this page can be used to sort and
- 5:24filter sites and change site settings so
- 5:28the active site page is used by
- 5:30administrators to also create team sites
- 5:34communication sites export this list and
- 5:37for example add a card to the homepage
- 5:40to track activities on these
- 5:44sites to create a communication site
- 5:48click
- 5:50create click communication site as
- 5:53shown enter a name and a site
- 5:58owner
- 6:04and of course specify a default language
- 6:06note to remember you cannot change this
- 6:09after communication sites generally have
- 6:13only a few site owners and members that
- 6:16manage and update the content but they
- 6:18will have many visitors that view the
- 6:21content if you click the advanced
- 6:23settings as shown you will see
- 6:26underneath time zone that you have an
- 6:28option to add a site description this is
- 6:31particularly useful and should be
- 6:33completed wherever possible once you
- 6:35click finish the site will be created
- 6:38and will appear on the
- 6:40list creating a site from the SharePoint
- 6:43admin Center can now be viewed by
- 6:45clicking on the site name in addition to
- 6:48me being the site admin I'll also show
- 6:51you how to add a user to be an
- 6:53additional site admin click the site
- 6:56name then click membership
- 7:01click the plus symbol next to add site
- 7:06admins as shown on screen then simply
- 7:09search by name or by email
- 7:13address let's now take a closer look at
- 7:15a team site in
- 7:16SharePoint you can create a SharePoint
- 7:19team site to provide a location where
- 7:22you and your team could work on projects
- 7:25and share information from
- 7:27anywhere a team site includes a group of
- 7:31related web pages a default document
- 7:34library for
- 7:35files lists for data management and web
- 7:39parts that you can customize to meet
- 7:42your needs we'll be taking a look at
- 7:45lists and web Parts in more detail later
- 7:48on click the create option and this time
- 7:51select team site which is on the left
- 7:53hand
- 7:55side and type in a site name for our
- 7:59example we will type in sales
- 8:02training now as we saw previously the
- 8:05SharePoint admin Center does a quick
- 8:07background check to confirm that this
- 8:10name is available on the site SharePoint
- 8:13admin Center will also create a group
- 8:16email address shown on screen and a site
- 8:20address that are based on the site name
- 8:23once you have selected the group owner
- 8:25click the advanced settings button
- 8:28unlike with communic a sites there are
- 8:30two privacy settings available private
- 8:33and public enter a suitable site
- 8:35description and press next for my
- 8:38example I will paste some text that I
- 8:40created
- 8:41earlier the final step is to assign site
- 8:44owners and site
- 8:47members site owners have full control of
- 8:49the content and theme and permission
- 8:53settings whereas site members can only
- 8:56edit and view site content in including
- 8:59files Pages lists and navigations to
- 9:03reiterate in our example our sales
- 9:05training team site is private within the
- 9:08best training organization once the
- 9:11group has been set up you may want to
- 9:13add Microsoft teams to this group which
- 9:15would then allow group members to
- 9:17collaborate in Microsoft teams to do
- 9:20this simply click add teams as
- 9:25shown switching across to Microsoft
- 9:28teams
- 9:29the sales training team has now been
- 9:31automatically
- 9:33created both of the SharePoint sites
- 9:35that we've shown so far teams and
- 9:38communication sites are based on
- 9:40SharePoint modern sites which are
- 9:43developed mainly for form and
- 9:47Mobility they offer faster site creation
- 9:50inline editing and mobile
- 9:54responsiveness modern SharePoint pages
- 9:56are written in JavaScript and run faster
- 9:58on dev
- 10:01devices sometimes SharePoint classic
- 10:04sites are more suited when Simplicity is
- 10:06the priority so for example a document
- 10:09Center which is designed for centralized
- 10:12document management this type of
- 10:15SharePoint page or site is quick to
- 10:17create an ideal for sharing knowledge in
- 10:19a format where page authoring is simple
- 10:23and users can still comment and rate
- 10:26Pages here is an example of how to
- 10:28create edit and upload a document to a
- 10:31classic site designed for document
- 10:34management the first step is to click
- 10:36the create button on the active sites
- 10:39page then click the browse more sites
- 10:42option as shown on screen click the
- 10:46drop-down list for choose a
- 10:49template and then select document Center
- 10:52a site name is mandatory and once again
- 10:55SharePoint admin Center will check to
- 10:57see if the site site name is available
- 11:01similar to Modern pages with a site
- 11:03owner you'll also need to nominate a
- 11:06primary administrator then enter a site
- 11:10description and press finish the classic
- 11:13site page will now be created in the
- 11:15background and may take a few
- 11:20minutes on completion of this module
- 11:23you'll be able to delete and restore
- 11:25sites from the SharePoint admin Center
- 11:28know how to permanently delete a site
- 11:30from the SharePoint admin Center and
- 11:33recall the criteria of permanent site
- 11:38deletion hello everyone and welcome back
- 11:41to this course on SharePoint admin let's
- 11:44now take a look at how to delete any
- 11:46type of site from SharePoint using the
- 11:49SharePoint admin Center once you have
- 11:51logged into the SharePoint admin Center
- 11:54click active sites using the left
- 11:56navigation menu you then have two
- 11:59options to find the currently active
- 12:02site that you would like to delete the
- 12:05first option is to type in the first few
- 12:07letters into the search field as shown
- 12:10on screen in our example we're going to
- 12:13delete a site called Team Alpha
- 12:15alternatively click on the all Sites
- 12:18dropdown list and select a standard view
- 12:21now in our case we're going to click on
- 12:23the Microsoft 365 group sites so we can
- 12:27find the site quickly as it belongs to
- 12:29this group once the cor site has been
- 12:31identified click the site name rather
- 12:35than the URL however you may wish to
- 12:38verify or visually confirm that this is
- 12:40the correct site by first clicking on
- 12:43the URL so in our example the Team Alpha
- 12:46site can be deleted by clicking the
- 12:48delete button as shown on screen as this
- 12:51site belongs to a Microsoft 365 group
- 12:55all its resources as well as the Outlook
- 12:57mailbox calendar and teams channels will
- 13:00also be deleted for our example we'll
- 13:03click delete to
- 13:05confirm the site and all its Associated
- 13:08resources have now been removed from the
- 13:10active sites list and now only appear in
- 13:14the deleted sites list switching over to
- 13:17the deleted sites list we can now either
- 13:20restore or permanently delete for
- 13:23example we will restore this one Team
- 13:26Alpha it's important to note that once
- 13:29is deleted from active sites it will
- 13:31still be retained for 93 days and then
- 13:35permanently
- 13:41deleted in order to permanently delete a
- 13:45site you must be the only primary site
- 13:48admin
- 13:49owner here is a site that I created
- 13:51earlier and as you can see I am the sole
- 13:54primary admin so I will permanently
- 13:57delete it you can now see how a message
- 14:01pops up to confirm you won't be able to
- 14:03restore it or any of its contents
- 14:06including lists libraries pages and
- 14:17subsites hello everyone welcome back to
- 14:20this course on SharePoint admin Center
- 14:22on completion of this module you'll be
- 14:24able to work with web parts for both
- 14:27classic and mod SharePoint
- 14:30sites import and manage lists into your
- 14:33SharePoint sites create and save list
- 14:38views and create and import document
- 14:42libraries into your SharePoint sites as
- 14:45a SharePoint administrator you need a
- 14:47thorough understanding of these powerful
- 14:48building blocks called Web Parts which
- 14:51are used throughout SharePoint sites and
- 14:54Pages SharePoint web parts are available
- 14:58both on the classic and modern
- 15:01templates the key difference is that for
- 15:03the classic sites they tend to be for
- 15:06things like blog pages and Wiki Pages
- 15:09whereas for modern they tend to revolve
- 15:11more around images video and
- 15:13media either way think of them as
- 15:16building blocks on a page for SharePoint
- 15:19sites and in both cases they do extend
- 15:23the functionality of SharePoint
- 15:27pages in our example now we will modify
- 15:30the right web part which is currently
- 15:32displaying Modified by me and for our
- 15:35example this is not necessary so we
- 15:37simply click on
- 15:40page then edit
- 15:43page and then select the web part that
- 15:46we want to
- 15:47modify click the drop- down
- 15:49list and choose
- 15:53delete press okay to
- 15:56confirm and then stop editing
- 15:59to complete the
- 16:04action let's now take a look at web
- 16:07parts for modern
- 16:09Pages for our example we are going to
- 16:11change the layout of the diversity and
- 16:13inclusion website from four tiles to
- 16:16five
- 16:17tiles also throughout this part we will
- 16:20also Define web parts and sections and
- 16:23show two examples of web parts starting
- 16:27from the active sites page page on the
- 16:29SharePoint admin Center we will click on
- 16:32the URL for diversity and inclusion this
- 16:35will allow us to view the
- 16:38site assuming that as a SharePoint
- 16:41administrator you have full site editing
- 16:43rights the edit button displays in the
- 16:46top right hand corner as shown here and
- 16:48when you click it the entire page will
- 16:51be checked out to you and is not
- 16:54available for others to
- 16:56edit if someone checks out a page
- 16:59inadvertently or forgets to save and
- 17:02close discard changes or publish the
- 17:06page will automatically save and close
- 17:10after 5 minutes of inactivity as shown
- 17:14on this first page by clicking on the
- 17:16first
- 17:17image we can see a floating toolbar
- 17:20appears we can use these buttons to move
- 17:23the web part
- 17:26edit duplicate and delete these two
- 17:29remaining dropdowns relate to tiles or
- 17:32layer
- 17:35layout but moving on let's look at the
- 17:38tile layout which is preset layout
- 17:41options so for example we're currently
- 17:43viewing a section that has as you can
- 17:45see four tile layout if I change it to
- 17:49five tile
- 17:51layout I think it works better in my
- 17:53opinion for this page so that's what I'm
- 17:55going to stay with running vertic
- 17:58basally down the left hand side you can
- 18:00see the section toolbar which also
- 18:03includes edit section move duplicate and
- 18:08delete the simplest way to understand
- 18:10the difference between a web part and a
- 18:12section is that a section runs
- 18:15horizontally from left to right and is
- 18:18made up of text images in other words
- 18:21it's made up of web
- 18:24Parts as you can see here this is an
- 18:26example of two different types of web
- 18:28Parts the first one is news and the
- 18:31second one is
- 18:38event as a global administrator or
- 18:41SharePoint administrator in Microsoft
- 18:43365 you can control settings for
- 18:46Microsoft lists this means that you can
- 18:49disable the creation of personal lists
- 18:52I.E saving new lists to my lists and
- 18:55disable built-in list templates that are
- 18:57not relevant for your
- 18:59organization both of these settings are
- 19:01controlled using Microsoft
- 19:04Powershell however we will not be
- 19:06covering that in this course and we will
- 19:08also assume that this is not required
- 19:10and so you will from time to time need
- 19:12to manage support and create lists to be
- 19:16connected to a SharePoint
- 19:18site so for our example we will
- 19:21demonstrate how to create a quick list
- 19:23by importing it from an existing
- 19:26spreadsheet we'll start at shown here
- 19:28from the SharePoint
- 19:31homepage first thing to do is to
- 19:33navigate to the site or the page where
- 19:34you want to add the list to so for our
- 19:37example we will navigate to Best
- 19:40training and import an Excel sheet into
- 19:43a
- 19:44list to import an Excel sheet into a
- 19:47list simply click the plus next to
- 19:52New and select
- 19:56list for our example we will choose from
- 20:00Excel I have a file ready to upload for
- 20:03our example we will use a spreadsheet
- 20:06called
- 20:11worksheets once the Excel document has
- 20:13been uploaded successfully you then need
- 20:16to press
- 20:17open this is only if you don't already
- 20:20have tables inside the existing
- 20:22spreadsheet and convert the existing
- 20:25data to a
- 20:27table
- 20:28and then insert
- 20:34table and confirm that the table has
- 20:42headers and then simply close the
- 20:48file as I've completed steps two and
- 20:51three I can now press
- 20:56refresh and it's confirmed that the
- 20:58table is called table one which is the
- 21:00default for the Excel
- 21:02spreadsheet and at this point I can now
- 21:04choose how the column types are
- 21:08displayed so for example the First
- 21:10Column is a single line of text that is
- 21:13correct second column is title third one
- 21:16is single line of
- 21:18text and column one column two do not
- 21:22need to be imported as they are not
- 21:26populated so I can just click on the
- 21:28drop- down list and choose do not
- 21:32import if we scroll to the right hand
- 21:35side we can see that there are some
- 21:37other options here level I'm going to
- 21:40choose level but instead of a single
- 21:43line of text for this example I'm going
- 21:44to choose
- 21:45Choice which will result in a choice
- 21:49between the variance on this
- 21:53column single line of text for
- 21:56Authority number is fine for industry
- 21:59although actually that's not going to be
- 22:01imported because that's
- 22:03empty and single line of text for format
- 22:07and simply press next for our example I
- 22:10will change the name to learning
- 22:12authorities and the
- 22:14description to new courses by learning
- 22:17authorities I will also allow the show
- 22:21in sight
- 22:23navigation to remain ticked and simply
- 22:26create and after a brief
- 22:30delay as you can see the list has now
- 22:34appeared and if I go to all
- 22:36items I can choose list compact
- 22:41list or Gallery which is the format that
- 22:45we're going to be
- 22:47using you can see here that each record
- 22:50is displayed in a card
- 22:52format this entire file has now been
- 22:54converted to an aspx file which sits
- 22:58inside that particular SharePoint site
- 23:01and is now available for editing it's
- 23:04also available for further
- 23:06collaboration note that the name of the
- 23:09list appears at the top learning
- 23:12authorities so this is part of the page
- 23:16navigation there are now a number of
- 23:19options available and arguably one of
- 23:20the most important is to invite team
- 23:23members so with that in mind I will
- 23:26invite one of our fictional users to
- 23:32collaborate and
- 23:35send now that the list is contained
- 23:38within the site I can now add a web part
- 23:41to a page to show this list in a
- 23:44customized view based on our list view
- 23:48called Gallery so to do this with the
- 23:50list Open click all
- 23:54items click create new view
- 24:00I will type in a name of our new soft
- 24:03skills
- 24:05Gallery I will show as
- 24:08gallery and then I will make this a
- 24:10public View and click
- 24:18create as you can see it now appears
- 24:20here in the top right hand
- 24:22corner and if I want to set that as the
- 24:25view to be the default I choose Set
- 24:29current view as
- 24:31default so as a result of doing that now
- 24:34that I'm on the best training SharePoint
- 24:36homepage I can click on learning
- 24:39authorities and it will load up the list
- 24:42in the default
- 24:44view which as we know is
- 24:47called our new soft skills
- 24:50Gallery as shown
- 24:54here now that we have successfully
- 24:56created the list list we can add this
- 25:00list into the current page
- 25:02showing in the form of web
- 25:05part so to do this we simply need to
- 25:09edit the
- 25:14page once the page has been checked out
- 25:17for
- 25:23editing we will then have the
- 25:25opportunity to add a web part in our
- 25:28example we will use column
- 25:34one and although we have frequently used
- 25:37the list web part it can normally be
- 25:42found in document lists and
- 25:45libraries so I'll demonstrate that
- 25:47display a list from this
- 25:49site as you can see there are two lists
- 25:52available on this current site the one
- 25:54that we need is learning
- 25:56authorities
- 26:01and as you can also see it has defaulted
- 26:04to the view our new soft skills
- 26:10gallery
- 26:16republish and that's now
- 26:26saved
- 26:28how to create and add a document Library
- 26:32the final part of this section is to
- 26:34demonstrate how to create and add a
- 26:36document Library using web Parts into an
- 26:39existing SharePoint site every
- 26:42SharePoint site whether it's teams or a
- 26:45Communications site has a folder
- 26:47embedded within the site called
- 26:49documents which is of course meant for
- 26:52documents that need to be shared it
- 26:54doesn't need to be called documents as
- 26:56you can see it can be named anything to
- 26:59create a new document Library as before
- 27:02simply click on the plus symbol next to
- 27:04the new Button as shown on screen then
- 27:07click document
- 27:08Library once the side panel opens up
- 27:11type in the
- 27:13name and a
- 27:16description if you'd like the document
- 27:18library to be shown in site navigation
- 27:20ensure that the checkbox is ticked and
- 27:23then simply press
- 27:26create
- 27:30now that the document library has been
- 27:32created before we place this into our
- 27:34page as a web part let's quickly create
- 27:37a series of colored
- 27:39subfolders the first one will be
- 27:54November then another one for December
- 28:05and a final one for
- 28:21archive so now to make this document
- 28:23Library available in the Team Alpha
- 28:25SharePoint we will need to to click
- 28:30home once the page is loaded click the
- 28:33edit pencil in the top right hand
- 28:39corner once the page is
- 28:41loaded navigate to where we want the web
- 28:45part to be added I'm going to add it
- 28:47into here which is where I've got a
- 28:49space
- 28:51available and simply click on the plus
- 28:55symbol the type of web part that we want
- 28:57for this demonstration is called a
- 29:00document
- 29:01Library so I'll click on document
- 29:03library and it will present us with all
- 29:06of the document libraries that are
- 29:07available on this site the one that
- 29:09we've just created is Alpha sales team
- 29:13weekly reports for Q4 so I'll just
- 29:15select
- 29:16that and then finally the only other
- 29:19thing that I want to do here is I want
- 29:21to change the view from all documents to
- 29:23compact list which will just reduce the
- 29:26space in between the row
- 29:29to save and check this page back in
- 29:33simply press
- 29:38republish and that process is now
- 29:45completed welcome to SharePoint admin
- 29:48Center section five sharing options once
- 29:52you've completed this module you will be
- 29:54able to manage sharing options or
- 29:57organization
- 29:59wide set default link types when users
- 30:03share files in
- 30:04SharePoint set default permissions for
- 30:07sharing
- 30:10links and manage sharing options for
- 30:13individual sites in Microsoft 365 when a
- 30:18user wants to share a file they choose
- 30:20it and then select
- 30:22share the user can open the dropdown to
- 30:25select the type of sharing link they
- 30:27want to use as well as additional
- 30:29options such as whether or not they want
- 30:32to allow editing applying the settings
- 30:35entering the recipient's name and
- 30:37sending the link are all that's
- 30:41required however as a SharePoint admin
- 30:44you can change the sharing options that
- 30:46users
- 30:49see let's now take a closer look and see
- 30:52how that works in the SharePoint admin
- 30:54Center open the policies drop down menu
- 30:57men and select sharing the external
- 31:00sharing section determines who users can
- 31:03send links
- 31:06to if anyone is selected users can send
- 31:10anyone links which do not require
- 31:14authentication if new and existing
- 31:16guests is selected anyone links will be
- 31:20disabled and all sharing links will
- 31:22require
- 31:24authentication if only people in your
- 31:27organization is selected users will not
- 31:29be able to share with people outside of
- 31:32the
- 31:34organization the file and folder link
- 31:37section allows you to choose which type
- 31:39of link is selected by default when
- 31:43users select the share button you can
- 31:45choose specific people only people in
- 31:48your organization or anyone with the
- 31:51link you can also choose the default
- 31:53selection for allow
- 31:56editing both of these defaults can still
- 31:58be changed by users to any other enabled
- 32:06option the options on this page apply to
- 32:09your entire organization to change
- 32:11settings for an individual site open the
- 32:14sites dropdown and select active sites
- 32:17and select the site you wish to make
- 32:19changes to select sharing make changes
- 32:23as needed then save your
- 32:25settings not that the settings for a
- 32:28site cannot be less restrictive than the
- 32:31settings for the
- 32:38organization hello everyone and welcome
- 32:40back to this course on SharePoint admin
- 32:43on completion of this module you'll be
- 32:45able to change permissions for
- 32:48sides amend privacy
- 32:51settings apply new organizational
- 32:56templates restore site Pages using
- 32:59versioning and add a new site admin and
- 33:02make them primary site
- 33:07admin for our example we are looking at
- 33:10the sales team site using the URL link
- 33:13so that we can better understand where
- 33:15and how to manage the site
- 33:17permissions Microsoft 365 admins and
- 33:20SharePoint admins more likely to be
- 33:22involved with the management of the
- 33:24sites rather than the designs so with
- 33:27that in mind let's focus on the
- 33:29SharePoint settings Cog the quick menu
- 33:33and the page details as shown on
- 33:36screen if the quick launch menu is not
- 33:39showing click this button to show the
- 33:41header and
- 33:44navigation to add a member or owner to
- 33:47this private teams site do the following
- 33:50click site group membership icon shown
- 33:54here then add members and start typing
- 33:58the name and then select the member or
- 34:00the owner remember site members can edit
- 34:03and view site content including files
- 34:06Pages lists and navigation they won't be
- 34:09able to control all site content such as
- 34:12themes permissions settings site
- 34:14settings and hub associations that's the
- 34:17difference between a site member and a
- 34:19site
- 34:21owner once the site member or site owner
- 34:24has been added don't forget to click
- 34:26save and and then
- 34:28close to remove a member from a site
- 34:31click the group membership icon again
- 34:33click the drop- down list next to the
- 34:35person you wish to remove and click
- 34:38remove from
- 34:43group as mentioned before this is a
- 34:46private group which may be ideal when
- 34:48creating the site
- 34:50initially once the site is ready to go
- 34:52live you will likely want anyone in your
- 34:56organization to have access to it
- 34:59changing the privacy settings of a
- 35:00SharePoint site is very simple in the
- 35:03top right hand corner click the Cog icon
- 35:05for
- 35:07settings then click site
- 35:10information and then the drop-down list
- 35:12under privacy
- 35:15settings change to public and click
- 35:23save as an administrator you may also be
- 35:26called on from time to time to apply
- 35:28organizational site
- 35:30templates let's now take a closer look
- 35:33at some SharePoint site templates there
- 35:35are 10 templates included with a typical
- 35:38Microsoft business account site
- 35:40templates are pre-built definitions of a
- 35:42site that contain Pages web Parts lists
- 35:46libraries and other elements that can be
- 35:48customized to fit the needs of your
- 35:50organization you can either use these
- 35:52default site templates provided by
- 35:54SharePoint or you can get your own own
- 35:57system site templates from existing
- 35:59sites so you can save download and
- 36:02upload SharePoint sites as a template or
- 36:06you can also create and use page
- 36:08templates for specific
- 36:11content for our example we will apply a
- 36:14site template called the crisis
- 36:16communication to a site created for demo
- 36:19purposes called crisis commoms site at
- 36:22best trining it's currently using an
- 36:24existing template called team
- 36:26collaboration
- 36:27so we will change that to the crisis
- 36:30communication team
- 36:32template so to apply a site template to
- 36:35an existing site from the SharePoint
- 36:37admin Center we will click the URL of
- 36:40the SharePoint
- 36:42site which is called crisis com site at
- 36:45best
- 36:51trining once the site opens we will
- 36:54click in the top right on the Cog
- 37:00icon to apply the new template we will
- 37:03then need to click on the apply a site
- 37:05template
- 37:13option the template we will use in this
- 37:16example is called crisis communication
- 37:19team and then use
- 37:21template the template has now been
- 37:24successfully
- 37:25applied
- 37:28although you may need to manage Version
- 37:29Control through the SharePoint more
- 37:31actions like
- 37:35this SharePoint sites have a quick
- 37:38shortcut available for working with
- 37:39version history without having to leave
- 37:42the page whenever a site is published a
- 37:45version is automatically created which
- 37:48you can restore to a previous version or
- 37:52analyze to see what the changes are this
- 37:55is called compare with selected
- 37:58version to see this click the page
- 38:01details then version history at the
- 38:04bottom as shown
- 38:05here for my example I will click version
- 38:088 to view it and then version five to
- 38:12view
- 38:12it I have decided that I will restore it
- 38:16to version
- 38:225 as you can see now the site has been
- 38:26restored to the correct
- 38:34version all Sites created in SharePoint
- 38:37have a high level dedicated primary site
- 38:40owner this will always have an email
- 38:42address and in our example shown on
- 38:45screen it's
- 38:48here if you need to add a different
- 38:50individual or group to become the new
- 38:52primary site
- 38:54owner then you could transfer
- 38:57the primary
- 38:58permission you could delete all the
- 39:00company owners site shown here although
- 39:03this is not usually recommended unless
- 39:05you have another site admin as a
- 39:09backup to add a new site
- 39:12admin click the site
- 39:16name click the membership heading on the
- 39:19window pane as
- 39:21shown click site
- 39:25admin click add site
- 39:28admin type the name or email
- 39:32address click
- 39:35add click the back
- 39:40arrow select the new member to be the
- 39:43primary site admin and then click the
- 39:45button make primary site
- 39:52admin a message appears to confirm that
- 39:55the primary site it admin has now been
- 40:02changed hello everyone welcome back to
- 40:04this course on SharePoint admin Center
- 40:07on completion of this module you'll be
- 40:09able to view the total and available
- 40:12storage space for your
- 40:14organization know how to set auto or
- 40:17manual site storage limits and know how
- 40:20to set individual site storage
- 40:25limits
- 40:28the amount of SharePoint space your
- 40:30organization has is based on your number
- 40:33of
- 40:34licenses if you're a global
- 40:36administrator in Microsoft 365 you can
- 40:40add storage space to your subscription
- 40:42if you run
- 40:43out to view the total and available
- 40:46storage space for your organization you
- 40:49need to go to the SharePoint admin
- 40:50Center and you need to go to active
- 40:53sites as shown on
- 40:55screen
- 40:56ensuring that you've signed in with an
- 40:58account that has admin permissions for
- 41:00this
- 41:02organization in the upper right hand
- 41:04corner you can see here the amount of
- 41:06storage available and the total storage
- 41:08for your
- 41:10subscription if your organization has
- 41:12configured multi Geo which is multiple
- 41:15geographies in Microsoft 365 you can
- 41:18point to the bar to see the amount of
- 41:20storage used in the current GE location
- 41:22and all other GE
- 41:25locations SharePoint admin Center allows
- 41:28you to set automatic or manual site
- 41:30storage limits and by default your
- 41:32SharePoint storage is available in a
- 41:35central pool from which all Sites can
- 41:37draw you as a global administrator or
- 41:40SharePoint administrator don't need to
- 41:42divvy up the storage space or reallocate
- 41:45space based on usage that's all handled
- 41:49automatically sites use what they need
- 41:52when they need it if you previously set
- 41:54storage limits manually and switch to
- 41:57using pulled storage SharePoint resets
- 42:00all the limits to 25 terabytes that's
- 42:0425,600 GB it's important to note that
- 42:07the total storage for your organization
- 42:10might actually be less than 25
- 42:13terabytes if you prefer to fine tune the
- 42:15storage space allocated to each site you
- 42:18can set your storage management option
- 42:21to manual and specify individual site
- 42:24storage limits so to do this go to
- 42:27settings in the SharePoint admin Center
- 42:30as shown on
- 42:31screen ensuring that you've signed in
- 42:33with an account that has admin
- 42:35permissions for your
- 42:38organization then site storage
- 42:44limits and switch between automatic and
- 42:48manual so I'm going to choose manual for
- 42:51my example and save once you have set
- 42:54your storage management option to manual
- 42:56you can then specify the individual site
- 42:58storage limits so to do this go to the
- 43:02active sites in the SharePoint admin
- 43:05Center select the site for my example
- 43:09I'm going to choose sales
- 43:12team once the site is selected click
- 43:15storage at the top to edit the storage
- 43:19limit for this example I'm going to type
- 43:22in 1
- 43:25250 Z needs to be less than
- 43:2925,600 in this
- 43:32example and Microsoft also recommend
- 43:34that you set an email alert so that you
- 43:37and other site admins can be
- 43:40notified when the sites are nearing the
- 43:43storage limit and this represents the
- 43:46percentage of the storage limit when
- 43:49owners should be notified and then save
- 43:52confirmation appears at the top of the
- 43:54screen and close
- 43:57to close the window
- 44:09down hello everyone and welcome back to
- 44:11this final part of the course on
- 44:13SharePoint admin Center for most
- 44:16organizations the management of the
- 44:18SharePoint admin Center is just one of
- 44:21the many skills required by Network
- 44:24administrators this call has been
- 44:26designed as an introduction for those
- 44:28who are new to SharePoint admin and as a
- 44:31result it represents a first dip in the
- 44:34ocean of configuring and managing
- 44:37SharePoint Network Services for your
- 44:40organization as you might remember the
- 44:43homepage displayed on screen initially
- 44:46was not showing much detail but as we've
- 44:49been active with the various sites and
- 44:54files and us users we can now see that
- 44:58this information is presented to us on
- 45:00the
- 45:01homepage to recap from the navigation
- 45:04bar on the left hand side the admin
- 45:07Center was the main area of our Focus
- 45:10for sites such as active sites and also
- 45:15deleted
- 45:21sites we explored how to create a site
- 45:24from the active sites option including
- 45:27team sites communication sites and
- 45:31classic
- 45:32sites we also while in site view
- 45:35explored how to create a new list a new
- 45:38document
- 45:40library and once these were created how
- 45:44to embed them into a page using web
- 45:52Parts subsequent to that we then went
- 45:55into the policies menu on the SharePoint
- 45:57admin
- 45:58Center to help us understand more about
- 46:01sharing which is where we configured
- 46:04things like external sharing settings
- 46:06file and folder
- 46:09links as well as default
- 46:11permissions we then spent some time
- 46:14focusing on SharePoint
- 46:17settings which can be accessed from
- 46:21here we looked at things like site
- 46:23storage limits as you can see
- 46:26in the navigation bar on the left hand
- 46:28side there are many many more options
- 46:31available all of the features and
- 46:33functionality demonstrated for you will
- 46:36set you off in the right direction so
- 46:39that you can further develop your skills
- 46:41and work towards the next level of
