- 0:00in this beginner's guide to using
- 0:01endnote I'll show you everything that
- 0:03you need to get started including how to
- 0:05download references straight from your
- 0:07web browser and how to add citations and
- 0:10bibliographies into Microsoft Word
- 0:12I've previously created beginner guides
- 0:14on using other reference manager
- 0:15softwares so be sure to check those out
- 0:17after this if you're interested
- 0:19with that said let's get started with a
- 0:21quick overview of what endnote is
- 0:24endnote is a premium reference manager
- 0:26software for Windows and Mac I say
- 0:28premium as unfortunately you have to pay
- 0:30for a license however that's probably
- 0:32not an issue for a lot of you in
- 0:34Academia as you can usually get access
- 0:36via your University for free
- 0:38for those that don't have a license
- 0:40there is a completely free 30-day free
- 0:42trial if you want to check it out and
- 0:44note that you'll need to enter a credit
- 0:45card upon sign up but don't worry as you
- 0:48can cancel any time
- 0:50to download the latest version of
- 0:51endnote version 20 in this case simply
- 0:54head on over to their home page and I'll
- 0:56leave a link in the description below
- 0:57for this
- 0:59select to purchase a license or download
- 1:01the demo and follow the instructions to
- 1:03install the software another thing I
- 1:06suggest you do at this point is to
- 1:07install the endnote click browser plugin
- 1:10and note click is basically a plugin
- 1:12that makes it super easy to save
- 1:13references and full text PDFs so your
- 1:16endnote library directly from your web
- 1:18browser the browser extension is
- 1:20available for Firefox Google Chrome and
- 1:23Opera and it can be downloaded by going
- 1:25to click.note.com
- 1:28simply follow the instructions to
- 1:30download the extension for your chosen
- 1:31browser Firefox in my case
- 1:34once installed you should then see the
- 1:36extension in the corner of your browser
- 1:38and there'll be more on how to use this
- 1:40later on in the video
- 1:42now we have everything we need to get
- 1:44started with endnote let's begin by
- 1:46taking a look around the program
- 1:48when you first launch endnote you'll be
- 1:50asked to either open an existing library
- 1:52or create a new one since this is our
- 1:54first time let's create a new one
- 1:57select a place on your computer that you
- 1:59want to save your library and Associated
- 2:01files in and give your library a name
- 2:04click save to set up the library
- 2:06now inside of endnote you will notice
- 2:08there are four main sections to the
- 2:10interface
- 2:11on the left we have a sidebar where you
- 2:14can toggle to view all your references
- 2:15those recently added and those that you
- 2:18have deleted under this you will also
- 2:20see groups these are like subfolders
- 2:22where you can organize your references
- 2:24there's more on this later
- 2:27then we have various literature
- 2:28databases that you can search directly
- 2:30inside of endnote
- 2:32in the main window in the middle this is
- 2:34where you will see your list of
- 2:35references I'll show you how to add some
- 2:37shortly
- 2:38there's also a search bar at the top
- 2:40where you can quickly search the
- 2:41references in your database
- 2:44to the right there's another sidebar
- 2:46which will display all of the
- 2:47information for a reference for when it
- 2:49is selected
- 2:50finally at the top we have a standard
- 2:52menu with additional options like you
- 2:54would see on most of the softwares
- 2:57let's now move on to the different ways
- 2:59you can add references to your endnote
- 3:01library
- 3:01there are four main ways that you can
- 3:03add references to endnote either
- 3:05manually add the references yourself add
- 3:08the references via an online search
- 3:10directly Within endnote
- 3:12download the reference file from the
- 3:14Internet or use the endnote quick
- 3:16extension to add references directly
- 3:18from your web browser
- 3:20to manually add a reference yourself
- 3:22click on this icon here or go to
- 3:24references new reference
- 3:27this will open a new window where you
- 3:29just need to manually populate the
- 3:30fields with the information for your
- 3:32reference
- 3:33I'll do this for a journal review
- 3:34article that I found online
- 3:37and if you have the full text PDF for
- 3:39this reference you can switch to the PDF
- 3:41Tab and upload this from your computer
- 3:45once you're happy with your entry switch
- 3:46back to the edit Tab and click save to
- 3:49add it to your library you can then
- 3:51close this window
- 3:52you can now see that the reference is
- 3:54listed in the main window
- 3:56what about adding references via an
- 3:58online search inside of endnote
- 4:01to do this you will obviously need to
- 4:02ensure you have an internet connection
- 4:04in the sidebar to the left select one of
- 4:07the online search databases you can also
- 4:09use the plus icon to add additional
- 4:11search databases and in some cases this
- 4:14can include your institution's library
- 4:16database
- 4:17for this example I'll search pubnet
- 4:20you can then use the search options at
- 4:22the top to populate fields that will
- 4:24find your reference
- 4:25for Journal articles you can usually
- 4:27just answer the lead author's name the
- 4:29journal it was published in and the year
- 4:32then hit search
- 4:34once the search is complete you should
- 4:36see the results listed below
- 4:38if you can't find the reference that
- 4:40you're looking for then you may need to
- 4:42tweak your Search terms and try again
- 4:44here's the reference I am interested in
- 4:46to add this to my endnote library I'll
- 4:48simply select it and click the plus icon
- 4:51now I have two of the same references in
- 4:53my library but the one I just added does
- 4:56not contain the full text PDF
- 4:58I know this because it does not show a
- 5:00paperclip icon next to the entry unlike
- 5:03the version I added manually
- 5:05a cool tip to automatically search and
- 5:07download PDFs for references that do not
- 5:10have one is to right click on it and
- 5:12select find full text
- 5:15endnote will then search the internet to
- 5:17see if it can find the PDF
- 5:19this doesn't work all the time but if
- 5:21the journal article is open access then
- 5:23it usually works
- 5:25now I have a full text PDF added
- 5:28another way of adding references to your
- 5:30endnote library is to download a
- 5:32reference file from a web page
- 5:35usually when you view a reference such
- 5:37as a journal article line you should see
- 5:39an option to send the file to a citation
- 5:41program or simply a citation button
- 5:44this example shows the reference I added
- 5:46in the previous step on the PubMed
- 5:48website I can simply go to the send to
- 5:51and then citation manager to download
- 5:53the reference file
- 5:55next find that file on your computer and
- 5:58open it sometimes you may need to
- 6:00specify to open the file with endnote
- 6:02endnote will then add the reference to
- 6:04your library
- 6:06a final way of adding references into
- 6:08endnote I'll cover is via the endnote
- 6:10click browser plugin which we installed
- 6:13earlier on in the video
- 6:14again go to the web page containing your
- 6:16reference and I'm using the same example
- 6:19as before
- 6:20if the endnote quick extension detects
- 6:22the full text PDF for that reference you
- 6:25will then see a view PDF icon in the
- 6:27lower corner
- 6:28when you click on this it will download
- 6:30a copy of the PDF to your endnote click
- 6:32online account
- 6:33to add this reference and PDF to the
- 6:36library select the export to endnote
- 6:38desktop option
- 6:39again this will download a reference
- 6:41file to your computer simply open it
- 6:43with endnote to add it to your library
- 6:46this is now a good opportunity to talk
- 6:48about dealing with duplicate references
- 6:50in your library
- 6:51to remove duplicates go to library find
- 6:54duplicates
- 6:55in the new window endnote will show you
- 6:57a side-by-side comparison for any
- 6:59duplicate entries
- 7:01Parts highlighted in blue indicate the
- 7:04differences between the two entries make
- 7:06sure you pay attention to these fields
- 7:08so you can better understand how to pick
- 7:10the entry you want to keep
- 7:12ideally what you want to do is to select
- 7:14the entry that contains the most
- 7:15complete information
- 7:17simply select keep this record to choose
- 7:19your preferred entry
- 7:21you then repeat this process until all
- 7:23of the duplicates are removed now when
- 7:26you go to see all your references you
- 7:28should only see unique references all of
- 7:31the duplicates will then be sent to the
- 7:33trash
- 7:34let's now move on to focusing on
- 7:36organizing your references specifically
- 7:39how to create groups
- 7:41you can think of groups as folders where
- 7:43you can add specific references to to
- 7:45better organize your library
- 7:47to show you an example I have a library
- 7:49that contains quite a few unique
- 7:51references
- 7:52to create a new group you can either
- 7:54right click on my groups in the sidebar
- 7:56or go to groups at the top and choose
- 7:59create group
- 8:01then you'll want to give your new group
- 8:03a meaningful name I'll call mine
- 8:05introduction as I want to add in all
- 8:08references relevant for my essay
- 8:09introduction
- 8:11to add some references to your group go
- 8:13to view all references
- 8:15you can then either right click on an
- 8:17entry and then go to add references to
- 8:19and select your new group from the list
- 8:22or you can simply click and drag on the
- 8:24entry to add a copy to your new group
- 8:26when you do this you will see the
- 8:28reference in your new group but note
- 8:30that the reference will always remain in
- 8:32your all references tab 2. as this lists
- 8:35all the references in your library
- 8:37you can also add the same reference into
- 8:39different groups
- 8:41once you've added a reference to a group
- 8:43it will be removed from the unfiled area
- 8:45which contains all references that are
- 8:47yet to be added to a group
- 8:50if you like having a lot of groups then
- 8:52you'll be glad to hear that you can have
- 8:53groups inside of groups by going to
- 8:55groups and choosing create group set
- 8:58you can then click and drag on groups in
- 9:00your sidebar to organize them
- 9:03another thing to note about groups is
- 9:05that if you delete a group it will not
- 9:06delete the references inside them from
- 9:08your endnote library
- 9:10only the folder is deleted the
- 9:12references will remain in your all
- 9:13references section
- 9:15a cool tool related to groups in endnote
- 9:18are what is known as smart groups
- 9:20to create a smart group go to groups
- 9:22create smart group
- 9:24what's great about smart groups is that
- 9:26you can create a criteria to which
- 9:28references must have to be added to your
- 9:30group
- 9:31for example let's say if you only want
- 9:33references that are authored by a
- 9:35specific author to be added to this
- 9:37smart group
- 9:38you can also fine-tune the inclusion
- 9:40criteria by using the plus and cross
- 9:42icons to add or remove criteria
- 9:45now when you hit create the smart group
- 9:47will be created and if there are
- 9:49references inside your library that
- 9:51satisfy the search criteria set they
- 9:54will automatically be added to this
- 9:55smart group
- 9:57and what's even more useful is that
- 9:58these smart groups are dynamic so as you
- 10:01add more references to your library if
- 10:03there are new entries that match that
- 10:05smart group's inclusion criteria they
- 10:07will automatically be added to that
- 10:09smart group
- 10:11so that's an overview of ano and the
- 10:13basics of using it I'll now move on to
- 10:15automatically creating citations and a
- 10:18bibliography or a reference list inside
- 10:20of Microsoft Word by using the endnote
- 10:22cite while you write extension when you
- 10:26install a note the site while you write
- 10:28function in word should be added to the
- 10:30ribbon at the top sometimes you might
- 10:32not see this if so try right clicking on
- 10:34the ribbon and selecting customize
- 10:36ribbon
- 10:37then find the endnote option and ensure
- 10:39it is ticked
- 10:41let's take a quick look around the
- 10:43endnote options inside of word
- 10:45to the left you can add and edit
- 10:47citations this is the option you will
- 10:49likely use the most next to this you can
- 10:52change the citation and bibliography
- 10:54Style
- 10:55then there are a few other options you
- 10:57can tweak after this
- 10:58adding the citation from your endnote
- 11:00library into word is super easy simply
- 11:03click on the area in your document where
- 11:04you want to add the citation
- 11:06then select the insert citation button
- 11:09it's then a case of using the search box
- 11:11to find the reference in your library
- 11:13usually entering an author is named does
- 11:16the trick
- 11:17then select the correct entry from the
- 11:19list and click insert
- 11:21you can now see the citation in Word
- 11:25another thing that will happen after
- 11:26adding your first citation is a
- 11:28bibliography will be created at the end
- 11:30of the document
- 11:31if you wanted to go ahead and add more
- 11:33citations next to your first one to
- 11:36support the same statement then just
- 11:38repeat what you did earlier by selecting
- 11:40the citation and going to insert
- 11:42citation
- 11:43then find the other reference and add
- 11:45this
- 11:46if you want to manage or delete
- 11:48citations you can select it and go to
- 11:50edit and manage citations here you can
- 11:53change the order of the citations by
- 11:55using the up and down arrows
- 11:57or to delete a citation select it and
- 12:00find the remove citation option under
- 12:03the edit reference option
- 12:06look so now I've just been using the
- 12:08annotated reference style in the
- 12:10document if you want to change the style
- 12:12used then simply use the drop down menu
- 12:14at the top to switch to a new one
- 12:16if you can't see the reference style
- 12:18you're after then try going to select
- 12:20another Style
- 12:21endnote comes with a lot of reference
- 12:23styles to choose from which covers the
- 12:25majority of journals
- 12:27if you still don't see the style you're
- 12:29after you have two options either create
- 12:31your own or download the reference style
- 12:34online and add it to endnote
- 12:36to create your own reference style in
- 12:38endnote go to tools output Styles and
- 12:41then new style
- 12:42you can then go for each of the options
- 12:44to fine tune your style
- 12:46to download a reference style online
- 12:48head on over to the endnote output
- 12:50Styles page
- 12:51after finding a style you want download
- 12:54it and then open the file with endnote
- 12:57with the file open you can review and
- 12:59make any adjustments and simply save it
- 13:01as a new style
- 13:02just before I wrap up this video I just
- 13:05wanted to mention a few more things
- 13:06about working with Microsoft Word
- 13:09usually instant formatting is turned on
- 13:11this means that every time you add a
- 13:14citation to the document the
- 13:15bibliography will be automatically
- 13:17updated
- 13:18sometimes you may want to turn this off
- 13:20and to do this select instant formatting
- 13:23and then turn it off
- 13:25if you do switch it off make sure you
- 13:28update the citations in bibliography
- 13:30before you finish by selecting this
- 13:32option here
- 13:33lastly you will notice that your
- 13:35citations are linked to your library
- 13:38this means you can edit citations to add
- 13:40or remove entries
- 13:42however sometimes you may want to remove
- 13:44these links and just have everything
- 13:46shown as plain text instead
- 13:49to do this simply go to convert
- 13:51citations in bibliography and select to
- 13:53convert to plain text be careful to
- 13:56always keep a copy of your document
- 13:57containing the citation links just in
- 14:00case you want to easily edit them again
- 14:02in the future
- 14:03that brings me to the end of this
- 14:05beginner's guide to endnote you should
- 14:07now know how to use endnote to manage
- 14:09your references and cite them in
- 14:11Microsoft Word
