FF&E Spec Sheets Explained | A Smarter, More Efficient Way — Transcript

- 0:05>> FF&E schedules should be
- 0:06straightforward. You select the
- 0:08furniture, you place it into the layout,
- 0:09now you just [music] need to document
- 0:11it. But in reality, it rarely works in
- 0:13that way. The drawings live in one place
- 0:15and the spreadsheet [music] lives
- 0:16elsewhere. Product links are in a
- 0:17browser tab, images are in a PDF, and
- 0:20nothing feels really connected. And the
- 0:22problem with that is that counts go out
- 0:24of sync, tags [music] don't match, specs
- 0:26get outdated, and someone is always
- 0:28manually updating something, [music]
- 0:30consequently, of course, leading to
- 0:32mistakes. In this video, I want to show
- 0:34a cleaner way to manage FF&E [music]
- 0:36in Rayon, where layouts, specifications,
- 0:39quantities, presentations all live
- 0:41together in a single connected
- 0:43environment. But before we get into it,
- 0:45if you want to follow along or try this
- 0:46workflow for yourself, there's a link in
- 0:49the description where you can create a
- 0:50free Rayon account.
- 0:54So, I'll start with this FF&E template,
- 0:56which was [music] built entirely in
- 0:58Rayon, from layouts all the way through
- 0:59to documentation. And just to clarify,
- 1:02this is a professional drawing
- 1:03environment. You can import DWGs, PDFs,
- 1:05[music] or DWF files, edit at scale, and
- 1:08work precisely and accurately. So,
- 1:11everything begins with the [music]
- 1:12layouts. So, Rayon includes over 10,000
- 1:16blocks, furniture, fixtures, [music]
- 1:17people, symbols, anything you could
- 1:19possibly imagine. They're all in plan,
- 1:21[music] section, elevation views. And
- 1:23you can see here that in this plan, we
- 1:25have all of these blocks imported, which
- 1:27you can see you can [music] select
- 1:28they're on the right hand side here,
- 1:29where you can see uh the definition and
- 1:31the block instance. Uh now, these are
- 1:33all imported [music]
- 1:35from the block library. So, if you head
- 1:36to the left hand side, head to the block
- 1:38library, you can see here you can scroll
- 1:39down, you can select [music] thousands
- 1:41of different options of blocks, and you
- 1:42can search through the libraries here by
- 1:45looking at various different [music]
- 1:46items, um or you can search for the
- 1:49blocks manually. So, if you select at
- 1:50the top here, you've got these kind of
- 1:52[music] library block options. If you go
- 1:54to blocks, you can look for individual
- 1:55blocks. Now, this is helpful if you want
- 1:57to search for a particular [music] type
- 1:59of block. Now, in this case, you can see
- 2:01here that I've got this um alcove sofa,
- 2:04which you can [music] see here you can
- 2:05rotate and adjust. You can also move
- 2:07between different views. So, every block
- 2:09instance will have a side, a top, and a
- 2:11front view. Obviously, the top being in
- 2:13the floor plan, and then you're when
- 2:14you're working [music] across elevations
- 2:16and sections, you've got then the side
- 2:17and front views. Now, you can jump
- 2:19between those views like [music] so. Um
- 2:21and we can then
- 2:23drop in
- 2:25the the plan back in place. You can then
- 2:27rotate that and position that back into
- 2:29place. Then, another [music] really
- 2:30useful type of block that I would I
- 2:32would recommend you have a look at is
- 2:33the parametric blocks. So, you can do
- 2:35that by searching at the top left corner
- 2:37here, where you can search [music] in
- 2:38the block library. If you type in
- 2:40parametric, you can see that each
- 2:42parametric block has this kind [music]
- 2:43of parametric icon in the top left
- 2:45corner.
- 2:47Now, to just demonstrate quickly how
- 2:48these work,
- 2:50if I drag and drop this one into place,
- 2:52we're just going to remove that sofa.
- 2:53We're going to [music] drop this one in.
- 2:55And you can see here that you can scale
- 2:56it up and down fundamentally without
- 2:58[music]
- 2:58adjusting or impacting any of the any of
- 3:01the geometry of that block. So, you can
- 3:03make things wider, you can [music] make
- 3:05things longer. And in that case, you're
- 3:07basically scaling something up and down
- 3:09with [music] the actual geometry not
- 3:10being impacted. Now, I'm just going to
- 3:12position this block into place. Um so,
- 3:15[music] now we have this nice little
- 3:16kind of armchair, this little corner
- 3:17armchair. And you can see here we've got
- 3:19various different options of where you
- 3:20can import [music] different styles. So,
- 3:22I'm just flick between this other layout
- 3:23that we have available to us. You can
- 3:25see [music] here that we've added
- 3:26ceiling lights, we've got plants. And
- 3:28you can see here across the section
- 3:30these different alternative views
- 3:31[music] and how they will end up working
- 3:33um when you're looking at section
- 3:34elevations. So, it's really useful.
- 3:36These blocks are really powerful uh to
- 3:39populate your drawings. [music] And I
- 3:40think the key difference here is that
- 3:42the furniture isn't static, it's
- 3:43iterative. If the client changes
- 3:45direction or the budget shifts, as it
- 3:48always does, [music] you can test
- 3:49alternatives instantly without
- 3:51rebuilding schedules. If there are any
- 3:52specific blocks that you can't actually
- 3:54find in the library [music] and you want
- 3:55to import from a manufacturer's website,
- 3:58for example, if you head to a website
- 4:00like Feature, you can download [music]
- 4:02a CAD, a DWG, and then you can create a
- 4:05block out of that CAD, which is really
- 4:06useful if you have a particular [music]
- 4:08product that you want to bring into your
- 4:10drawing. Now, if we scroll down to our
- 4:12downloads, I'm just going to [music] go
- 4:12to 2D and 3D data, wire chair, for
- 4:15example.
- 4:17And then we're just going to download
- 4:18this as a DWG. [music] We're just going
- 4:20to download the zip.
- 4:22We're then going to open that and import
- 4:24it as a DWG, which you can see here.
- 4:26Select elements. We don't need to then
- 4:27toggle any of those [music] items. Click
- 4:29import.
- 4:31Okay, click import. It will drop it in
- 4:32at a 1:1 [music] scale, which we see
- 4:34here. It's dropped in at a 1:1 scale.
- 4:36You can then rotate and shift it. And
- 4:38then you can change the name of your
- 4:39block instance. [music] So, we're going
- 4:40to call it this uh uh the wire chair.
- 4:43Now, here I'm just going to quickly show
- 4:44you how you can build [music] a bit of a
- 4:47library of all of these elements that
- 4:48you want to work in into your floor
- 4:50plans. So, in this case here, you can
- 4:52see that I've pulled a load of elements
- 4:54out that I want [music] to use to
- 4:55populate my floor plans. Um I've pulled
- 4:58out a load of blocks from the block
- 4:59library and made a little bit of [music]
- 5:00kind of mini library myself for my own
- 5:02little kind of layouts. Sometimes, if
- 5:04you've got a particular client that
- 5:06you're working with who has a particular
- 5:08type of furniture that they use
- 5:09>> [music]
- 5:10>> in their projects, this is where it's
- 5:12really important you can build your own
- 5:13independent little library of those
- 5:15elements that you need to use [music]
- 5:17for those particular types of projects.
- 5:19Now, if you actually want to save this
- 5:20as a library for team members to [music]
- 5:21use and and to import across your your
- 5:24drawers and your your models or projects
- 5:26that you're working on,
- 5:28if you head to the top right-hand
- 5:29[music] corner, you can click share.
- 5:31And then what you want to do is if you
- 5:33already have team members uh in [music]
- 5:35your kind of your workspace, in your
- 5:38Realm workspace, all you have to do is
- 5:40go up to libraries and just click this
- 5:42publish [music] blocks
- 5:44toggle. Now, when this is turned on,
- 5:46anyone that's already [music] in your
- 5:47team, in your own team, what all of a
- 5:50sudden have access to this block
- 5:52library. [music] I'm going to quickly
- 5:53show you how this works.
- 5:55So, if we head into our model and we go
- 5:56to libraries, you can see here that
- 5:58we've got our apartment block libraries.
- 6:00So, we've got 98 [music] instances here.
- 6:03And if we click that library, you can
- 6:05see here now all of those elements that
- 6:07[music] I had as part of that library
- 6:10and now located on this left-hand side
- 6:12here, which is really, really [music]
- 6:13useful. So, now if you have any drawings
- 6:15or projects that you want to work on
- 6:17with that particular type of furniture
- 6:18you want to import, you can just drag
- 6:20and pull [music] those into place. And
- 6:22fundamentally, this is building your own
- 6:24vendor libraries and making them
- 6:25accessible across all of your projects
- 6:27and your team's projects. And the
- 6:29benefit of this is that it means that
- 6:30it's consistent. There's no more
- 6:32redownloading the same blocks again and
- 6:34again [music] or creating a kind of
- 6:35document tell people which blocks to
- 6:37download. It's now all here in a library
- 6:40yourself. Now, to build this into your
- 6:42layout and attach live properties to
- 6:44your blocks, [music] you can create and
- 6:45apply your own properties such as
- 6:47manufacturer, model numbers, [music]
- 6:50finishes, costs, lead time,
- 6:53all of these different elements that you
- 6:55you might feel that are important to
- 6:56building a a schedule of information
- 6:58that is important [music] for your FF&E
- 7:00schedules. So, some of these fields will
- 7:02already exist in the template in this
- 7:04case, but you can also add your own.
- 7:05[music] You can see here for example,
- 7:06we've selected this coffee table and we
- 7:08already have a load of instance
- 7:10properties applied in this template.
- 7:12We've got the brand, we've got the
- 7:13class, we've got the color, quantity,
- 7:15brand, category, lead time, uh unit
- 7:18cost, etc. [music]
- 7:19You can add all of this data that will
- 7:20live with that block. And you can see
- 7:22here the same with this small coffee
- 7:24table in the corner. We've already
- 7:25applied [music] all of those elements.
- 7:27Let's quickly show you how you can apply
- 7:28these properties and how these
- 7:29properties work. We're just going to
- 7:31select the chair that we imported.
- 7:32[music]
- 7:33Um and this is actually a product that I
- 7:36found online. This is a £329 Chicago
- 7:39love seat in the [music] color of beige.
- 7:42It's actually a really quite nice little
- 7:43armchair sofa. So, we're going to start
- 7:44pulling some of this data and this
- 7:46information and adding those properties
- 7:48to our sofa. So, [music] you can see
- 7:50here that we can then start clicking the
- 7:52plus button so we can add some more
- 7:54instances. We can add a color, for
- 7:55example, which we can type in beige. We
- 7:57can add unit cost. And then
- 7:59alternatively, [music]
- 8:00you can also start adding some images
- 8:02and some links to your products. Now,
- 8:04this is particularly useful because
- 8:06[music]
- 8:06of course, when you're building a
- 8:07drawing like this and you want the
- 8:09client to have easy access or easy
- 8:12reference [music] to these products that
- 8:13you're importing, you can select a block
- 8:15and you can then basically find the link
- 8:18or the image associated with that block.
- 8:20So, this works simply by through save an
- 8:22image.
- 8:23We then hit plus property. We're going
- 8:25to create a new property. We're going to
- 8:27call that product image. We're going to
- 8:29change the type [music] to an image
- 8:32here and then we can just click save.
- 8:36And then if you click the product
- 8:37[music] image, you can then select that
- 8:39image and you'll see here that it when
- 8:40it's loaded, there you go. It's now
- 8:42dropping and associated [music] with it.
- 8:44You can do the same with the link as
- 8:45well. So, if you select then
- 8:47add property, [music] we'll then add a
- 8:49link.
- 8:51So, we're just going to call that
- 8:52product link. [music] The type then will
- 8:54of course become a link then and then
- 8:56you can then click save and then you can
- 8:58add a link. And the beauty of this is
- 9:00when you select that product, [music]
- 9:02you can click this little link button
- 9:03corner and it'll take you straight to
- 9:05that product. And of course, then we can
- 9:07then pull [music] this information out
- 9:08into a schedule into a live table. And
- 9:11this data lives directly with the
- 9:13object, [music] not in a disconnected
- 9:15spreadsheet.
- 9:18So, in tables, this is where all your
- 9:20input information [music] can be
- 9:21displayed clearly and effectively. Now,
- 9:23the way this works is to use tables.
- 9:25[music] So, if you head to the left-hand
- 9:27side here, we're going to click a new
- 9:28table. And you'll see that when you
- 9:30create a new table, it [music] will
- 9:32almost bring everything into the table
- 9:33and we'll obviously have to start
- 9:34working into this. So, you can see here
- 9:36that we've got pretty much everything.
- 9:37We've got different wall types, window
- 9:39types, everything pretty [music] much
- 9:40that you could have in the model. So,
- 9:42what you want to do is go to categories.
- 9:44We're going to toggle off wall [music]
- 9:45and zone. I'm just going to keep it with
- 9:47the block instance. So, it's only now
- 9:49going to pick up elements that are
- 9:51blocks. We then want to add a column.
- 9:53So, we're just going to click add
- 9:54column. Now, this is where you can add
- 9:56your your data regarding the brands,
- 9:58regarding [music] to the quantities,
- 10:00regarding to the link images, etc.
- 10:02So, we're just going to add product
- 10:04category
- 10:05>> [music]
- 10:05>> to begin with. And you can see here that
- 10:06it's got all of the different categories
- 10:08alongside it. We've got toilet chairs,
- 10:10arch openings, and then we can add
- 10:11[music] the brand.
- 10:13For example, we can then add the product
- 10:15images. And then if we add the product
- 10:17link, [music] we can go full screen if
- 10:19you want to if you want to have a look
- 10:20in a little bit more detail.
- 10:22Now, one thing we can do is we could
- 10:23start then [music] also organizing and
- 10:25filtering and grouping by brands, by
- 10:27categories, for example. In this case,
- 10:30we're going to [music] group by brand
- 10:31and then filter out the Cave
- 10:34Home brand. You can see all [music] the
- 10:36quantities on the right-hand side. If
- 10:37any categories missing, you can then add
- 10:39in. For example, in this case, we're
- 10:41going to add in lamp lighting category.
- 10:43[music] We can then do includes maybe
- 10:45the Dusk. So, we can now try and find
- 10:46that particular element. So, we're going
- 10:48to find now the brand that has got
- 10:51the Dusk. So, this is now [music] the
- 10:52armchair that we've imported, the love
- 10:54chair armchair.
- 10:55And we can now say that we want two of
- 10:57those. And now if [music] you work into
- 10:59your floor plans, if you work into your
- 11:00model canvas,
- 11:02and start updating this information. For
- 11:03example, all [music] of a sudden you
- 11:04need five of these chairs rather than
- 11:07two. If you change that to then five,
- 11:09you'll see that it updates [music] then
- 11:11in your table, which is really useful.
- 11:13Now, an alternative or a different type
- 11:14of table that you could produce is a
- 11:16kind of a status table. So, you can
- 11:18identify what has been ordered, what
- 11:21types of chairs [music] have already
- 11:22been ordered, or what the lead times
- 11:24might be. So, this table is identifying
- 11:26the the brand, the name, [music] the
- 11:28quantity, the status, and And also the
- 11:30lead time with the price of the unit as
- 11:33[music] well. Now this is really useful
- 11:34then if you want to start tracking,
- 11:36okay, if you've ordered a certain type
- 11:38of sofa or certain type of chair or
- 11:39certain type of
- 11:41coffee table [music] or whatever it
- 11:42might be, you can then start documenting
- 11:44what's been ordered and what hasn't been
- 11:45ordered. And then we can then
- 11:47import that once you're happy with the
- 11:48information, you can then import that
- 11:50into your
- 11:52model canvas
- 11:53and we can then have that located
- 11:55alongside [music] your floor plan. So
- 11:56you can refer to the two drawings. And
- 11:59you can then customize this table after
- 12:00you've imported it, you can extend and
- 12:03um and shorten certain elements. You can
- 12:04then change [music] some of the the font
- 12:06colors, for example, you can change font
- 12:08type. And you can then start working
- 12:10into the table to customize it. For
- 12:13example, we might want to give all of
- 12:14these top elements maybe a bit of a
- 12:16a bit of a color, so it has a bit of a
- 12:18title, maybe make that [music] a little
- 12:20bit bolder.
- 12:22And then we can change all of those
- 12:23order items to green, for example. And
- 12:26of course, if you want to export any of
- 12:28these tables individually, you can still
- 12:30export them to Excel or using [music] an
- 12:32S CSV, but you're no longer dependent on
- 12:35it. And because they live side by side,
- 12:37if you move a chair, replace a sofa,
- 12:39change a price, the schedule updates
- 12:42automatically. [music]
- 12:43So you won't know recounting and no
- 12:45broken formulas, and I think that's
- 12:46really important with schedules. And
- 12:48then if you want to start building a
- 12:49presentation from that floor plan and
- 12:52those schedules, you can then create
- 12:54>> [music]
- 12:54>> a page, for example, you can then scale
- 12:56that up and down, we can then adjust
- 12:58that to customize it as you wish. We're
- 13:00just going to keep it as an A3 page
- 13:01[music] at this point.
- 13:03We're then going to head to the block
- 13:04library. We're going to bring in [music]
- 13:06a title block. So if we scroll all the
- 13:07way down to title blocks annotations,
- 13:10we'll then find the an A3 [music] title
- 13:13block that we can just click and drag
- 13:15into place,
- 13:17which you can see here. You can then
- 13:18start adjusting [music]
- 13:19and amending certain elements, for
- 13:21example, we'll change this page number
- 13:22to page one. And then what we're going
- 13:24to do is We're create a view now into
- 13:26our model canvas. So, if you click this
- 13:28plus button, go to view,
- 13:30and you'll see [music] that we'll have
- 13:31then fundamentally a view port into our
- 13:33model canvas. And you can then change
- 13:35the scale. You can then crop these
- 13:37elements down. You can crop the view
- 13:39down, and then we can place it onto the
- 13:40page. And then you can also
- 13:42>> [music]
- 13:42>> then insert your table. So, we're just
- 13:45going to click insert. We can head to
- 13:46our table. [music] And then as you drag
- 13:48this down,
- 13:50you'll see then we can then position
- 13:51that in place.
- 13:54And once again, customize [music] it.
- 13:55Now, with a bit of work, you can see
- 13:56here that we've added a little bit of a
- 13:57title. So, we've got equipment and
- 13:59furniture table. We've added some kind
- 14:01of image references on the left-hand
- 14:02side here. And as we zoom out, you can
- 14:05see here now [music] we've got a full
- 14:07presentation with our floor plans, with
- 14:09our different
- 14:10uh different elements [music] with the
- 14:11budget, and we've got a mood board, and
- 14:13we've got paint palette, and we've
- 14:14worked all of these elements in. And
- 14:16[music] now these are all just view
- 14:17ports into model canvases. You can also
- 14:19add text onto it. You can add images
- 14:21onto it. You can [music] customize this
- 14:22as a full presentation. FF&E schedule
- 14:26feel like an afterthought. They should
- 14:27be built into [music] your presentation,
- 14:29as we've shown. And as you can see, this
- 14:31becomes a clean presentation-ready FF&E
- 14:34package, [music]
- 14:35because everything stays connected.
- 14:37Changes to layout automatically update
- 14:39with the documentation. [music]
- 14:40And now this is where it becomes
- 14:42collaborative, and where you can work as
- 14:44a team. Now, to work on a team on a
- 14:46project like this, and to allow your
- 14:48team members [music] to comment, to
- 14:50view, to also make changes to your
- 14:52model,
- 14:53you can head to the top right-hand
- 14:55corner here and click share.
- 14:57Uh and you've got these different
- 14:58options. You've got access libraries,
- 14:59template presentations. Now, you [music]
- 15:01can invite a team member as a viewer,
- 15:04editor, or admin, for example.
- 15:06Um you can [music] then invite them by
- 15:07clicking the invite button. Or you can
- 15:09have a public link, where you can then
- 15:11share
- 15:12a public link, so anyone can access
- 15:14[music] it. You can then publish your
- 15:16libraries. You can publish your your
- 15:17templates, and you can publish your
- 15:19presentation, which I think is really
- 15:21quite handy. Publishing a presentation
- 15:23means that [music] you can basically
- 15:24create a link for that presentation,
- 15:26which you can then flick through,
- 15:28[music] as you can see here. And then if
- 15:29you want to add any comments as a team,
- 15:31you can head to the left-hand side here.
- 15:32You can add comments such as [music]
- 15:35"Make timber floor finish darker." Post
- 15:37that, and then someone can respond or or
- 15:40or react to that comment. We can then
- 15:43say we love this rug, for example,
- 15:44[music] which is it's a pretty nice rug.
- 15:46And you can see here that now the
- 15:47comments are quite visible and can can
- 15:50live in the drawing. Now, if you export
- 15:52any of these drawings, of course, the
- 15:53comments won't exist on them, and but
- 15:55they just exist [music] in the
- 15:56workspace. And the beauty of having a
- 15:58link is that you don't have to email
- 16:00PDFs back and forth. You can share the
- 16:02link, which is live. Stakeholders will
- 16:04always see the most up-to-date version
- 16:06because the model [music] is live. And
- 16:08because the schedule is tied to the
- 16:09drawing, there's then no coordination
- 16:11gap. It all links together. FF&E
- 16:13planning is never [music] static. It
- 16:15evolves with design, budget, and
- 16:17feedback. When your drawings and
- 16:18schedules are disconnected, mistakes
- 16:19[music] are almost inevitable. But when
- 16:21they live together, layout, data, and
- 16:23presentation, the process becomes
- 16:25simpler, faster, and far more reliable.
